Responsibilities
  • Support the Site Coordinator in management of the health sciences building.
  • Develop schedule for building operation, cleaning and maintenance and serve as the point of contact for the health sciences building (e.g. submit work request), communicate with vendors.
  • Work with the site coordinator to maintain an inventory list for School of Occupational Therapy in Columbia.
  • Support the site coordinator in ongoing communications with campus security, public safety personnel and information technology.
  • Attend scheduled Columbia Site Occupational Therapy faculty meetings and take minutes.
  • Assist with preparation for recruitment by maintaining calendar for tours of facilities.
  • Answer departmental phone calls and manage building entrance during part-time working hours.
  • Create documents for recognition, i.e. certificates.
  • Maintain emergency contact information files for all current students (obtained at the beginning of year through Forms survey by Hickory administrative assistant
  • Maintain a photo directory for all current students (obtained via PowerCampus at the beginning of the year by the Hickory administrative assistant).
  • Communicate any changes in student information, i.e. name change with Hickory Occupational Therapy administrative assistant.
  • Assist with events i.e. celebrations, ethics and poster presentations as needed.
  • Assist with documents/minutes, preparation, etc. for the School of Occupational Therapy, including photocopying, filing, faxing, e-mailing, scanning or other document handling, according to the priority list.
  • Supervision of processing departmental mail.
  • Maintain organizational systems with the site coordinator for all general-use items such as files, office supplies, etc.
Required Skills/Abilities
  • Excellent verbal and written communication skills.
  • Excellent interpersonal skills with the ability to manage sensitive and confidential situations with tact, professionalism and diplomacy and work with individuals at all university levels.
  • Excellent time management and organizational skills with a heightened attention to detail.
  • Strong analytical skills and problem-solving/conflict-resolution skills.
  • Proficient with Microsoft Office Suite, Excel, MS Teams
  • Independently productive in completing tasks
Education and Experience
  • Associate degree or business-related administrative skills required.
  • Experience working in an administrative assistant position with related duties and responsibilities is preferred.
Physical Requirements
  • Prolonged periods of sitting at a desk and working on a computer.
  • Must be able to lift up to 15 pounds at times.
  • Ability to travel with students, faculty and staff throughout campus.
Work Schedule
  • 20 hours of work per week between 8 a.m.-5 p.m.
  • Hours are flexible, but ideally, a regular daily schedule can be established.
