The Opportunity:

Embry-Riddle Aeronautical University is now hiring an Academic Support Analyst at the Daytona Beach campus. Under the guidance of the Vice Provost for Faculty Affairs, the Academic Support Analyst is responsible for functions of the Office of the Provost in interacting with the Vice Provosts for Faculty Affairs and Academic Affairs, academic departments, College Deans, academic support departments, Human Resources, student employment, budget, and other departments on the campus as well as the other campuses. 

Responsibilities include the following:
  • Maintain the Faculty Position Rosters and academic, salary, and budget data.  Maintain strict confidentiality with respect to all faculty, staff and student records, as well as all activities specific to the Office of the Provost.  Perform analysis and produce reports as requested by the Provost, Vice Provosts for Academic Affairs and Faculty Affairs, Chief Business Officer, Human Resources, Institutional Research, College Deans, Payroll and others with regards to faculty positions in departments, colleges, and the campus.

  • Coordinate faculty hire process including searches, working with academic leadership on available salaries, search processing, appointment specifications, startup packages, credentialing, and onboarding. Assist academic leadership, Budget Office, and Business Office in managing vacant faculty salary to fill vacant faculty positions (permanent and temporary). Keep current on budget policies that affect faculty salaries and serve as a liaison to communicate changes.

  • Prepare, distribute and track annual faculty contracts for the Daytona Beach (DB) and Prescott (PC) campuses in accordance to the Faculty Handbook. Additionally, amend existing contracts based on changes and add new contracts for new faculty. Work with IT to manage the electronic contract system and troubleshoot the workflow when errors occur.

  • Process applications for faculty phased retirement, sabbaticals, and leave requests for the Office of the Provost. Coordinate with academic leadership, Budget Office, Business Office, and Human Resources to ensure funds are available to accommodate requests.

  • Responsible for maintenance and integrity of all academic data for DB and PC campus faculty, adjuncts, graduate teaching assistants and staff. This includes storage and maintenance of files, tracking of workloads and status in University databases. Lead and oversee imaging of faculty records approved by Provost. Update all records of DB and PC faculty, adjuncts and staff as new degrees, certificates and licenses are awarded. Supply accurate and detailed information required for reaffirmation and accreditation.

  • Lead for Workday and Campus Solutions data for the Office of the Provost. Ensure DB and PC Faculty data showing on ERAU faculty websites is accurate and correct. Update information throughout the year as changes occur. Correspond with academic leadership, HR and Legal.

  • Administrator for Master Assistantship Contract workflow, PhD Assistantship Contract workflow, Promotion and Tenure workflow and Faculty Payment Voucher workflow. Responsible for ensuring approvers in workflow are accurate and working with IT to improve future iterations.

  • Assist Vice Provost for Faculty Affairs with other duties as needed.

Qualifications

Required Qualifications:
  • Bachelor’s degree in related area

  • M inimum of 5 years of related work experience in budget management and administrative support

  • Strong technical skills for budgeting and administrative purposes

  • P roficiency in Microsoft Office products, including Excel

  • Strong customer service mindset

  • Excellent organizational and problem-solving skills

Preferred Qualifications :
  • Experience with academic record keeping and maintenance

  • Knowledge of student information systems

  • Experience with Campus Solutions and Workday software

  • Experience with workflow systems and web applications

  • Experience working with faculty contracts
