Position Summary:
The Development Assistant provides support on a variety of tasks for Willamette's Development Team, including reception, correspondence, data entry, event support, p-card and invoice completion, and other administrative duties. This role requires an individual who is highly collaborative, detail-oriented, organized, and able to manage projects to completion and under tight deadlines. The Development Assistant should have interpersonal skills required to work with a variety of individuals both within and outside of the University.

This position is responsible for providing a high level of executive support for members of the Development Team including campaign staff and executive support for the Executive Director of Development.

Duties and Responsibilities
  • Serves as receptionist, receives and directs phone calls, and greets and assists Advancement guests.
  • Provides general administrative support across the Development department
  • Provides back-up and support to other members of the administrative support team within Advancement including cross training with other support staff in Advancement
  • Coordinates the day-to-day activities of the Development Team, ensuring communication within the team and across the Advancement division
  • Assists in preparing staff reimbursement and travel requests for review and approval and maintaining fiscal year accounting records. Communicates with staff to ensure completed documentation as required by University policy; distributes documents to the University's Accounting office, and maintains fiscal year records as needed for the Development Team.
  • Provides administrative support to staff including preparing and proofing correspondence, and other projects as needed some of a complex nature under tight deadlines.
  • Prepares travel itineraries as needed.
  • Provides support for donor campus visits and small cultivation events/dinners.
  • Supports University and Advancement events throughout the year
  • Serves as a proficient user of Willamette's Raiser's Edge fundraising tool
  • Maintains confidential donor documents and donor information stored in WU's donor database and archive systems
  • Enters data and contact reports into Raiser's Edge as appropriate.
  • Performs other duties as required.


Minimum Qualifications
  • Two or more years of experience working in a complex office environment and/or an equivalent combination of education and experience, preferably in higher education or a non-profit fundraising environment.
  • Computer skills and willingness to learn new applications and technology related to the job.
  • A thorough understanding of the value of a private liberal arts education.
  • Interpersonal and communication skills and and exceptional ability to review data.
  • Initiative, creativity, high energy level, and demonstrated ability to motivate others are essential.
  • A strong customer service orientation.
  • Oral and written communication skills
  • Outstanding work organization and time management skills.
  • Personal Initiative and an ability to manage projects simultaneously, to set priorities and follow-through on projects.
  • Ability to work effectively in a team environment with a mix of deans, faculty, parents, alumni, and staff colleagues.

Typical Work Schedule

Monday to Friday, 8am to 5pm

May include work during evenings and weekends when needed.

Physical Demands & Working Conditions

Typical work performed indoors in a normal office environment.

Salary: $19.82 per hour
