Job Description

The Administrative Coordinator provides program and administrative support to the Missouri Western Law Enforcement Academy. In addition to providing direct support to the faculty and students in the academy, the Administrative Coordinator maintains all records required by the Missouri Peace Officer Standards and Training (MO POST ) Board.

ESSENTIAL DUTIES :
  • Assists the Commander and LEA Instructors in preparing Academy class schedules, attendance sheets, policies and procedures, and other Academy compensation in accordance with MO POST requirements.
  • Coordinates with partner sites and campus to schedule skills sessions for the Academy.
  • Maintains ongoing contact to set up additional range times or cancel range times as necessary.
  • Procures recruit supplies and materials as directed.
  • Processes all recruit and instructor paperwork prior to and throughout each Academy class.
  • Maintain Academy records and databases, including test results, class details, proficiencies, etc. Enters and maintains all class and student information into the MO POST system to ensure ongoing certification of the Academy and its graduates.
  • Maintains confidential student and instructor files. Protects confidential and sensitive information in keeping with FERPA and University policies and procedures.
  • Works with other university staff to ensure that Academy staff and instructor are set up on university systems and have access to university resources as needed.
  • Coordinates graduation ceremonies. Prepares graduation program, plans the event and reserves facilities.
  • Maintains Academy budget using university systems and processes.
  • Completes all documents, forms and reports required for the Federal Carl Perkins Grant.
  • Communicates with Academy staff, faculty and students on behalf of the commander as requested.
  • Updates Academy website and social media pages as directed by supervisor.
  • Responds to inquiries regarding Academy policies and procedures. Screens and routes calls and visitors and provides a variety of information requiring specialized knowledge of the law enforcement area.
  • Provides exceptional front-line customer service to students, community members, and employees. Informs visitors, students, faculty and community members, by phone or in person, of University and Academy procedures and other routine information.
  • Supervises and assigns work to student office staff.
  • Performs other duties of a similar nature or level.

Required Qualifications
  • High school diploma or GED
  • One year of specialized training in office administration or business management
  • Three years of administrative support or related experience
  • Or an equivalent combination of education and experience sufficient to successfully perform the essential duties of the job such as those listed above
