Position Summary
The Senior Administrative Assistant is responsible for providing administrative support for staff and office reception for the Admissions office. The Admissions office plays a vital role in welcoming students and their families to Washburn University. The Senior Administrative Assistant is responsible for creating and maintaining a pleasant, welcoming environment for all who contact the office. It is important the employee maintain confidentiality standards under FERPA guidelines.
Essential Job Functions of Position
• Welcome visitors and prospective students who arrive at the Office of Admissions.
• Provide office reception with a professional demeanor at all times.
Assist visitors and respond to inquiries regarding admission policies, procedures, application status, etc., directing other inquiries to appropriate staff or department as needed to facilitate communication and reliable customer service for all contacts.
• Develop and employ a full understanding of software system processes, sequences and data standards to appropriately establish and update records that will be used by staff throughout the University.
• Assist staff with scheduling campus visits for prospective students.
Schedule tours, set up appointments with faculty, coaches, or other staff.
Arrange for class visits and other activities as relevant to student interests.
• Create, update and maintain student records in appropriate software programs.
Entering a wide range of data that may include biographical and/or academic data.
• Work with other Admissions staff to hire, schedule, lead, assign work and train student employees. Monitor performance to identify training needs to ensure the highest levels of customer service are maintained.
• Responsible for the timely processing of mailed in applications, fees, transcripts and other admissions-related activities.
• Update/modify Banner records as needed to ensure student records are accurate for subsequent processing by other Enrollment Management departments.
• Manage office supply inventory and visit experience refreshments for the office.
• Perform additional job related duties as assigned or appropriate.
Non-Essential Job Functions of Position
Education and Experience
High school diploma or GED . Two years of experience providing administrative support or completion of a course of study at the post-secondary level in Office Management/Support and one year of experience providing administrative support or college degree and work experience in an office environment.
Preferred: Associate or bachelor degree.
Knowledge, Skills & Abilities
Ability to communicate effectively and make complex decisions in accordance with established policies and procedures. Demonstrated attention to detail and accuracy.
Preferred: Experience with Banner, MS Office and WebExtender. Experience in a higher education environment.
