Job Description

SUMMARY :

Reporting to the Assistant Dean for Student Affairs, with a dotted line to the Assistant Dean for Community and Engagement in the College of Science and Mathematics, the Program Associate functions as the point of contact for the CSAM Student Success Center (Academic Advising) and Career Services, supporting major events and programs throughout the year. The Program Associate provides administrative support for career services and academic advising activities in the College of Science and Mathematics.

PRINCIPAL DUTIES AND RESPONSIBILITIES :
  • Serve as the point of contact for the Academic Advising and Career Services main email account, responding to inquiries from students, faculty, staff, and external stakeholders, escalating inquiries as necessary.

  • Support requisitioning, processing payments for purchase orders, stipends, and reimbursements. Support departmental financial administration as needed.

  • Maintain appropriate records and files.

  • Represent CSAM at Open House, Accepted Student Day, Freshman/Transfer Orientation, Career Fair and other events throughout the year.

  • Assist with social media/web content creation, the production and distribution of promotional materials (including event promotions) and mass email communications, and the monitoring of the unit’s Canvas sites.

  • Facilitate small group workshops and presentations.

  • Assist with the onboarding of student workers.

  • Manage the calendars for the unit.

  • Contribute to the oversight of the Handshake system, including approving jobs assigned to our college, answering employer questions, scheduling information sessions, career fairs, and sending out emails and announcements to students regarding upcoming events.

  • Critique cover letters and resumes through Handshake and/or meet with students individually to conduct document reviews.

  • Assist Advisors with outreach to CSAM UG students regarding drop-ins, important deadlines, events, etc. via Navigate, CSAM email, phone, or text.

  • Perform other duties as assigned.

  • Management retains the right to add or change job duties at any time.

QUALIFICATIONS :

REQUIRED :
  • Bachelor's degree from an accredited college or university.

  • Minimum 2 years of professional experience in a higher education setting, or comparable administrative work experience outside of higher education.

  • Proficiency in Microsoft Office (Excel, Word and PowerPoint) and Google Suite, comfortable working with social media and have the ability to quickly learn new applications.

  • Superior interpersonal skills and the ability to work well with administrators, faculty, staff, and university partners in a diverse setting.

  • Strong oral and written communication skills.

  • Ability to multitask, organize, prioritize, and work both independently and collaboratively in a professional setting.

  • Ability to work fully onsite, 5 days a week.

PREFERRED :
  • Experience supporting Career Services or Academic Advising.

  • Experience working with Handshake, Navigate, Workday and Banner.

  • Ability to work well with people of varied backgrounds and talents.

  • Strong quantitative skills.
