Job Description
The Senior Administrative Assistant performs various administrative duties according to established procedures and policies. This full-time on-campus position will provide half-time support to two campus units: Teaching Innovation and Learning Technologies (TILT) and Professional and Continuing Education (PCE), reporting to the Assistant Provost of TILT and the Director of PCE. This position also interacts professionally with students, faculty, staff, a myriad of campus offices and external clients/partners. The Senior Administrative Assistant works collaboratively with department staff to manage office duties. A successful candidate will have the a bility to work independently, while providing effective verbal and written communication and strong organizational skills.
Minimum Qualifications:
- High school diploma or GED equivalency
- Three year of experience in an office or administrative setting
- Supervisory or managerial experience
- Associate’s degree or higher in related field
- Four or more years of office management experience
- Budget management experience (i.e., revenue and expense reporting, invoicing, etc.)
- Proficiency in Microsoft 365 as evidenced by application materials
- Attention to detail
- Experience at an institution of higher education
- Strong written communication skills
- Experience working with website, blog and social media sites.
- Experience working in multiple technology tools like Teams, Smartsheet, Adobe Acrobat

- Administer Workday processes for staff and student employees.
- Manage human resource-related processes including hiring, payroll, and expense reimbursement.
- Manage KACE platform, including tracking progress on existing course developments, adding new courses as needed, and managing KACE New Adjunct Orientation Process.
- Assist in the planning, coordination, and scheduling of meetings for the assistant provosts/Director and oversees the scheduling of the department conference/training rooms. Take meeting minutes and manage follow up reminders/schedules related to meeting action items.
- Organize and maintain digital and paper files and records, while maintaining the security and confidentiality of all documents.
- Coordinate and arrange travel and travel reimbursement for TILT or PCE staff using Workday.
- Maintain the departments’ budget by overseeing processes, accounts, ordering, and purchasing.
- Generate invoices and process client payments for programming using the PCE Modern Campus portal and Workday.
- Maintain inventory and order office supplies and serve as point of contact for service and maintenance requests.
- Assist with logistics of reserving rooms and managing catering for all TILT and PCE events.
- Other duties as assigned by the Assistant Provost or Director of PCE.
