Role will be hybrid requiring 3 days per week on site with flexibility in the schedule to move those days to meet programming needs. Flexibility also needed for occasional nights or weekends. Nights and weekends are the exceptions, not the rule.

Position Purpose
Provides administrative support to Dartmouth Cancer Center ( DCC ) leadership, management, faculty, and staff in support of daily administrative activities and long-term projects that facilitate an efficient administrative infrastructure supporting the department’s multi-disciplinary academic and research goals. This position supports both the newly formed Dartmouth Cancer Center – Diversity, Equity, Inclusion, and Belonging ( DEIB ) initiative as well as within the main administrative team, with 50% of the role dedicated to supporting the DEIB initiative.

This position will support a new and growing office focusing on DEIB work in cancer.
This role will be a good fit for an applicant with two to five years of general office experience, a problem solver who is detail oriented, and enjoys being part of an administrative team. This position relies heavily on the use of Word, Excel, PowerPoint, and Outlook email, as well as Zoom. Dartmouth systems experience is helpful, but not required; and you will be part of a team willing to train you.

- Three years of general office or financial experience.
- Ability to plan work, set priorities, and respond to pressures, deadlines, and changes in schedules and priorities.
- Strong ability to pivot and adjust to changing priorities.
- Ability to manage logistical and administrative details of multiple tasks or projects.
- Excellent verbal and written communication and interpersonal skills.
- Proficiency in office products such as Excel, Word, and PowerPoint as well as, database management, spreadsheets, and other computer software.
- Ability to maintain and foster confidentiality.
- Commitment to diversity and to serving the needs of a diverse community.
- Bachelor’s degree or equivalent work experience.
- Five years of general office experience in a customer facing role.
- Experience in DEIB administrative support or programming.
- Familiarity with Dartmouth systems and procedures.
- SharePoint, FileMaker, and Endnote experience.
- Experience with document version control.
- Willingness and ability to exercise judgment and initiative and to interact with a diverse set of faculty, personnel, and outside agencies in a professional manner.

Description
Administrative and Research Program:
- Provides administrative support to leadership, management, faculty, and staff in the areas of administration, DEIB, research programs and related activities, calendar coordination, assists with minor AV/technology support (on and offsite), and other administrative tasks as assigned.
- Provides research program and DEIB initiative support through coordination of logistics for meetings, retreats, round tables, committee meetings, tracking of related meeting documents.
- Assists with recruitment of faculty and staff including schedule coordination, speaking/presentation arrangements, coordinating travel and reimbursement.
- Assists with website preparation or maintenance.
- Under direction, provides administrative support to the cancer center on non-grant related tasks.
- Provides logistical and administrative support for on or off-site meetings. May assist with minor AV needs of setting up meetings.
- Coordinates reporting of collaborative team/science activities.
- Assist with routine administrative tasks including formatting, editing, reviewing of documents, posters, presentations, as well as record-keeping and retrieval, and report drafting.
- Assists with or is responsible for ordering supplies for the entirety of the administrative suite.
- Provides back up administrative support within administrative team to maintain continuity of leadership support during vacations, turnover, or high volumes of work.

- Programmatic support for Program for Oncology Workforce Education and Research Experience at Dartmouth ( POWERED ) undergraduate program.

Grant Support, Administrative and Research Programs:
- Assists leadership, staff, and faculty with multiple administrative components of grant proposal preparation and submissions.
- Assists leadership, staff, and faculty with preparation and regularly updates grant components such as biosketches and other support pages including preparation, formatting, updating, and organization. Works directly with faculty, departmental Research Administrators, Operations Directors or others (internal and external) to gather and report Other Support information on faculty and staff.
- In coordination with DCC Research Administration, assists in completion of required data tables, DCC member status and participation reporting, leadership appointments, and sponsored research awards.
- Supports areas of grants including funding, membership, and publication metrics.
- Assists Administrative Services Manager and Senior Research Administrator in the pre-award process for new competing and non-competing federal and non-federal grants, as assigned.
- Assists with site visits.
