This position is part of a collective bargaining unit represented by SEIU Local 500 - Provost & Enrollment Division. That means the terms and conditions of your employment are governed by university policy (including the Staff Personnel Policies Manual) and any collective bargaining agreement entered into between American University and SEIU Local 500 - Provost & Enrollment Division.

Job Description:

Summary:

Reporting to the Associate Director of Operations, this position is responsible for providing general administrative and specific project development support to the AU Abroad-Abroad at AU office. The individual acts as the initial point of contact for the office. Tasks include, answering main phone line and main AU Abroad email inbox; planning and coordinating events; created printed materials, managing AUA-A@AU websites and social media accounts; supporting office operations; and ensuring the office is well maintained and functional for optimal performance. The Administrative Coordinator must be able to function independently with minimal supervision, have sound judgment, a professional demeanor, and be project/task oriented.

Essential Functions:

1. Program operations:
  • Responsible for general advising/walk-in strategy, monitoring, and responding to main auabroad email, supporting general office communications, processing both AU Abroad and Abroad at AU application materials, creating visa letters for outgoing programs, and document management.

  • Assist in defining program goals, reporting on activities and assessment projects.

  • Provide support in registration of both AU Abroad and Abroad at AU students, as needed.

  • Provide support in processing transcripts from foreign universities, as needed.

2. Coordinate events:
  • Coordinate and facilities office event such as, the Study Abroad Fair, photo and video contests, information sessions, and other activities as needed, including securing space, advertising, and ensuring that all logistical arrangements are handled properly.

  • Attend various campus-wide events to serve as AU Abroad representative (New Eagle Day, Preview Day, etc.)

3. Lead the development of communication and marketing strategies, with collaboration of team leaders and other stakeholders:
  • Oversee development and content management of the office’s websites, social media presence (Facebook, Twitter, Instagram, etc.), brochures and other printed materials, newsletter, and advertising activities.

  • Regularly evaluate effectiveness of marketing and communication activities, updating or changing plans as needed to achieve goals. Implement marketing and recruitment activities.

  • Identify populations of students and create and manage marketing activities.

4. Student staff management:
  • Assist in the recruitment and placement of a graduate assistants.

  • Create and implement training modules for office staff and student workers.

  • Supervise front desk operations.

5. Other Duties:
  • Student Advising, as needed.

  • Contribute to departmental and university-wide projects and initiatives as needed/required.

Position Type/Expected Hours of Work:
  • May occasionally require work on evenings and weekends.

  • Hybrid working will be offered. Current expectation is 2/3 days a week on campus, with 3/2 days per week working remotely. This may change depending on business needs.

Salary Range:
  • $30.20 per hour.

Required Education and Experience:
  • Bachelor's degree.

  • 2-4 years of experience of relevant experience.

  • Program management experience.

Preferred Education and Experience:
  • Cross-cultural communication skills.

  • Experience with digital marketing, social media content creation across a variety of platforms, and design and management of websites.

  • Experience in public relations, higher education, or international education.

  • Familiarity with the Adobe Creative Suite.

Additional Eligibility Qualifications:
  • Excellent planning, project management and facilitation skills with high-level attention to detail.

  • Excellent interpersonal, verbal and written skills, including the ability to develop and sustain relationships with a variety of stakeholders.

  • Ability to multi-task, organize and prioritize while maintaining high standards of accuracy and quality.

  • Demonstrated organizational skills to establish goals; manage assignments and competing priorities; work under pressure of deadlines; and to follow through to successful completion.

  • Must have the ability to function in a fast-paced, team-oriented environment.

  • Ability to work independently.

  • Solid communication and computer skills, along with excellent interpersonal and presentation skills.
