Job Summary
The University of Colorado Boulder invites applications for a Finance & Scholarship Specialist! This position contributes to the financial health and growth of the Education Abroad (EA) office by working with the International Education Associate Director of Finance and the EA team as well as working closely with the Education Abroad (EA) Assistant Director and Director of Scholarships in running an effective operation and is a member of EA’s Finance Team. The Finance & Scholarship Specialist reviews scholarship applications, works with Financial Aid as needed, makes awards, reconciles scholarship accounts, and updates scholarship budgets. This role sends insurance enrollment rosters and changes, supports the EA team with student enrollment, and serves on the finance team as contract and backup support.
Education Abroad is a unit within International Education in the Office of Undergraduate Education within the Division of Academic Affairs, at the University of Colorado Boulder. The mission of this unit is to develop, operate, and maintain a comprehensive portfolio of education abroad programs for CU Boulder students and academic units, including studying abroad, international student exchanges, faculty-led Global Seminars and Global Intensives, CU in D.C. programs, and international research and service learning. The unit is responsible for health and safety and risk mitigation for students going abroad on CU Boulder sponsored programs, and oversees campus support for International Travel Registration, in compliance with the CU Boulder Policy on Student International Travel and Programs.

What Your Key Responsibilities Will Be
Scholarship Administration and Analysis:
- Assist Scholarship Director in administering all scholarships;
- Participate in the Scholarship team and meet regularly;
- Review assigned scholarship applications and consult with each Program Manager (or academic departments as needed) on awards (via TDS), ensuring consistency and adherence to the budget;
- Work with staff in Financial Aid as needed to obtain FAFSA information via TDS;
- Make awards via TDS, ensuring accuracy with relevant data entry and clear communication to students about their award(s);
- Carefully track status changes in TDS to ensure appropriate adjustments or withdrawal of scholarship funds; consult with Scholarship Director as needed;
- Reconcile scholarship awards to ensure they are accurately recorded and disbursed;
- Create journal entries as need to allocate scholarships to their correct speedtype (funding source);
- Assist the scholarship team by updating scholarship budgets each term;
- Track scholarship spending initiatives;
- Prepare and submit journal entries for cash transfers from other departments contributions;
- Ensure that scholarship information is updated in TDS and on the website;
- Create and strive to continuously improve processes to mitigate errors;
- Be available to answer student and parent questions regarding their study abroad program finances including but not limited to scholarships.
lnsurance Enrollment and Management:
- Compile rosters with pertinent information for insurance enrollment each term or as needed for all programs except International Travel Registrations;
- Upload rosters to online insurance portal;
- Track status changes and make necessary updates to insurance enrollment;
- Connect with Insurance company on various questions and scenarios;
- Reconcile insurance invoices and send to Accounts Payable through the University Procurement system;
- Update billing rosters with paid fees;
- Assist staff and students with insurance questions;
- Complete early insurance registration for students from select programs who need early confirmation of insurance coverage due to visa processes.
EA Administrative support:
- Activate students in relevant student groups through the university’s student information system, Campus Solutions;
- Assist the EA Data Analyst with statistics and data reports including departmental requests, and student enrollment analysis;
- Help process status changes when students change their enrollment status (e.g. withdraw, defer, etc.);
- Ensure compliance with university data retention policies by uploading Education Abroad transcripts into CU’s OnBase records repository.
Finance Team Support and Other Duties as Assigned:
- Serve as back up for the finance team when members are out or during extra busy times like fiscal year end;
- Provide backup support for creating program budgets;
- Assist the Finance team with updating provider contracts, obtaining W-8BEN-E forms from foreign providers, and coordinating agreements as needed;
- Support special projects, such as EA’s strategic goals, and serve on various internal working groups;
- Other duties as assigned.

What We Can Offer
- The salary range for this position is $53,000 - $56,000 per year.

What We Require
- Bachelors Degree from an accredited institution of higher education
- Minimum of one year of professional experience in a finance field. Excel experience.
- Equivalent combination of education and experience may substitute.
