Located in Greater Boston, MassBay is a comprehensive, open-access community college offering associate degrees and certificate programs on three campuses in Wellesley Hills, Framingham, and Ashland, Massachusetts.
Position Summary:
The ideal candidate will join a vibrant and inclusive educational community and have a desire and ability to work with a diverse population. This is a part-time, non-unit position with no benefits. The Admissions Operations Assistant will support the admissions operations team with day-to-day tasks to meet the strategic enrollment goals of MassBay Community College.
Key Responsibilities and Duties:
- Assist with monitoring email inboxes for the admission office, triaging and responding to incoming inquiries and reviewing submitted documents for processing;
- Assist with processing submitted documents (high school diplomas, high school transcripts, GED/HiSet score reports, College transcripts) from Parchment, National Student Clearing House, ScribFoward, and other outside agencies, in PeopleSoft student information system (SIS) and save to DocuWare;
- Process High School GPA Placement Waivers in PeopleSoft (SIS);Review submitted Tuition Eligibility Forms, and supporting documentation, communicate with students to determine eligibility;
- Enter prospects into PeopleSoft (SIS);
- Participate in Live Chat and Virtual Q&A ;
- Attend admissions operation team meetings ;
- Communicate in a professional manner to students, faculty, administrators, and outside agencies. This includes but is not limited to communications via phone, email, electronic and written correspondence;
- Assist with answering the admissions main phone line and returning voicemail;
- Serve as the first point of contact at the front desk in the Admissions office on the Wellesley Hills Campus; greet visitors to the office with a high-level customer service;
- Demonstrate commitment to valuing diversity and contributing to an inclusive learning environment;
- Display strong attention to detail and advanced organizational skills;
- Perform other administrative and admissions operational duties
as assigned.
- Support MassBay’s commitment to the Equity Agenda; collaborating with faculty, staff, and students on the College’s strategic initiatives dedicated to closing the equity gap related to student outcomes;
- Support MassBay’s commitment to being anti-racist; embracing a community free of bias and inequality;
- Contribute to discussion and review of applicable College policies with a critical lens toward diversity, equity, and inclusion;
- Engage with the Office of Diversity on issues related to underserved student success;
- Further the examination of pertinent practices that are culturally responsive and reflective of inclusive perspectives; and
- Engage in conversations with colleagues and students regarding best practices within the discipline or programmatic related to equity and inclusion.

Required Qualifications:
Applicants must have at least (A) two years of full-time, or equivalent part-time, experience in office management, office administration, business administration or business management, the major duties of which included one or more of the following functions: purchasing, personnel management, budgeting, accounting, records management, work simplification, grants management, contract administration or program management, (B) any equivalent combination of the required experience and the substitutions below.
Substitutions:
I. An Associate's or higher degree with a major in business administration, business management or public administration may be substituted for the required experience.*
II. An Associate’s or higher degree with a major other than in business administration, business management or public administration may be substituted for a maximum of one year of the required experience.*
*Education toward such a degree will be prorated on the basis of the proportion of the requirements actually completed.

- Experience with Customer Relationship Management (CRM) System, Student Information Systems (SIS) and Document Imaging systems.
Salary Range: $32.00 - 32.50 Hourly Wage
