Job Summary
This is secretarial and office work involving the performances of delegated administrative duties. Work involves performance of varied secretarial, administrative, and public relations duties. Work is evaluated in terms of overall effectiveness in the execution of assigned functions. Office Management, clerical work for the department, keeping budgetary records, participation in school of education projects, archiving and maintenance of records of Committee on Learning Accommodation.
Responsibilities
Administrative Support - 50
Office Management and clerical work for department. Answer, direct, and convey messages of incoming calls to the appropriate faculty or staff. Assist students and answer general questions about each program's major. Organizes meetings, interview schedules, events, guest speakers; attends departmental meetings and records and distributes minutes. Maintains all personnel files of faculty. Assists faculty in preparation of tenure packages. Orders all office supplies and extra things needed for faculty when needed. Maintains operating budgets and reports to chair. Operates various office machines such as personal computers, photocopier, printers, scanner, and other office equipment. Maintains various types of upkeep on the different machines. Order toners, fixing jams, etc. Duties associated with Committee on Learning Accommodation (university wide function).
Customer Service - 10
Student relations and help. Greets individuals calling in person or by phone. Refers callers to proper persons and provides information. Keeps calendar for department chair and helps maintain daily work routines. Enters class schedules each semester.
Coordinating - 5
Association with and coordination of program information and admissions.
Other - 5
Perform other duties as assigned
Word Processing - 20
Prepare and process departmental documents such as part-time faculty teaching requests and textbook requisitions. Compose, type, and mail letters and memos. Send and receive faxes and emails. Help prepare and copy syllabi, handouts, ordering desk copies, and other miscellaneous course support material to aid faculty with teaching. Enter courses into Banner computer system and prepare routine office work for upcoming semesters.
Records Management - 10
Create, update, and maintain student folders, records and forms. Accesses and collates data for surveys, reports, updates University profile departmental information. Inventories i-pads and other technology, as needed.
