Job Description

Provides leadership and coordination for the Director of Operations for the Institute for Human Development and represents the Director in various administrative/operational matters across the Institute as delegated, including the overall management of the Director’s administrative office, overseeing major projects and initiatives, serving on committees and responding to internal and external concerns and constituents. Keep the Director’s office focused on the Institutes mission and initiatives and prioritize the Director’s daily activities. This position is a liaison between IHD and other offices on campus (Information Services, the Purchasing Office, UM System, External Businesses, and organizations (ex. Hotels, car rentals, airlines, etc.) Responsibilities may include but are not limited to program development and administration, budget development and management, program assessment, communications activities, liaising with internal and external constituencies and staff leadership and supervision. Develops, implements, and supports any electronic and technology systems that are utilized within the Institute for Human Development.
  • Uses judgment to identify, troubleshoot and resolve day-to-day technical and/or operational problems.
  • Impacts the quality, efficiency and effectiveness of own team and its contribution to the Program and Project Administration function.
  • Works with the Director of Business Operations to complete the following tasks:
    • Buy and/or rent supplies for IHD employees.
    • Create purchase orders and send them to vendors.
    • Interact with suppliers daily to develop and nurture mutually beneficial relationships.
    • Track delivery times and report any issues with product or delivery.
    • Monitor status of orders and contracts.
    • Calculate all order costs and evaluate invoices for accuracy.
    • Determine when products are unusable or damaged.
    • Develop contract proposals to support organizational goals.
    • Review contract estimates, etc. and determine whether they seem reasonable and accurate.
    • Ensure that all records are accurate and up to date.
    • Create regular status reports regarding progress on projects. Develop and maintain department Organizational Chart and websites tailored to meet the unique needs of various projects and teams within the department.
    • Act as a bridge between internal stakeholders and external consultants. Facilitate clear communication, gather requirements, and ensure project alignment.
    • Collaborate closely with leadership to understand pain points, identify improvement opportunities, and propose innovative software solutions.
    • Provide subject matter expertise and insights on web development best practices, guiding stakeholders in making informed decisions.
    • Conduct regular meetings and presentations to update stakeholders on project progress, solicit feedback, and address concerns.
    • Develop documentation, training materials, and user guides to support the adoption and utilization of software solutions across departments.
    • Stay updated on industry trends, emerging technologies, and best practices in Industry. Actively share knowledge and insights with the team.
  • Assists with IHD recruitment efforts, such as supporting search committees, reviewing applications, scheduling interviews, and onboarding new hires.
  • Manages IHD meeting room calendars
  • Track Academic Appointment Paid Time Off in accordance with the CRRs.
Minimum Qualifications

A Bachelor's degree or an equivalent combination of education and experience and at least 2 years of experience from which comparable knowledge and skills can be acquired is necessary.

Preferred Qualifications

Three years of experience doing similar work within a University research and training center.

Anticipated Hiring Range

$18.50 - 23.00 hour commensurate with experience, education, and internal equity.
