Student Employment Operations Specialist

About the Opportunity

JOB SUMMARY:

The Student Employment Operations Specialist is responsible for technology business leadership and core Student Employment service delivery. This is a hands-on position responsible and accountable for day-to-day service operations and performance, assisting to identify and establish short term goals and business needs, documenting policies and procedures for development, service, operations, and performance. The successful Specialist will lead the training and engagement for students and Student Managers that will fundamentally enhance the support experience for students, supervisors and team members engaging with the Office of Student Employment, Graduate Assistantships & Fellowships through Workday. This role supports Workday system transaction processing, student employee and managers training along with technical assistance collaborating with campus partners including Human Resources, Cooperative Education and the Office of Global Services.

KEY RESPONSIBILITIES & ACCOUNTABILITIES
  • Directing and managing the customer service operation of the Office of Student Employment Office, Graduate Assistantships & Fellowships (SEGAF).
  • Maintaining primary responsibility for all bi-weekly payroll operations, hiring operations and customer service operations.
  • Hiring, training and supervising all Student Employment student and support staff.
  • Being the primary liaison with Student Financial Services, HR, OGS, Co-op departments, PhD Network, Career Design and all student supervisors.
  • Training all staff and student employee supervisors within the university regarding financial aid regulations, payroll policies, procedures and regulations and the use of Workday.
  • Managing bi-weekly and semi-monthly payrolls.
  • Assisting with all Stipend Graduate Assistantships and Student Part Time Lecturer hiring and payroll operations.
  • Assisting with all Graduate school key contacts and SGA administrators.
  • Monitoring all Federal Work Study earnings for compliance with federal regulations and budgetary limits.
  • Monitoring all payroll operations to ensure compliance with MA state regulations.
  • Serving as primary contact for conflict resolution between student employees and supervisors.
  • Taking responsibility for the Job Location and Development (JLD) federal program, including tracking of hires and earnings for federal reporting purposes.
  • Developing and maintaining job opportunities, both on and off campus, with student employers.
  • Conducting site visits to ensure compliance with all employment regulations


MINIMUM QUALIFICATIONS
  • Proficient with Workday, MS Office, Banner and student information systems required.
  • Knowledge of PowerFaids and Salesforce preferred. Knowledge of payroll and Title IV regulations required.
  • Ability to work in a fast paced environment with specific deadlines to accomplish tasks, ability to multitask and be organized as well as be a self-starter, ability to work independently, attention to detail.
  • High level of customer service skills, demonstrated through direct student and employer contact.
  • Strong communication, interpersonal and organizations skills, including the ability to give presentations to any size group of students, parents and university staff.
  • Demonstrated ability working with a diverse student population.
