Program Manager, Institutes, Centers, and Impact Engines

JOB SUMMARY
The Program Manager will develop systems and processes to coordinate the Institutes, Centers, and the Impact Engine program in the Office of the Provost. These initiatives are conceptualized to galvanize and organize interdisciplinary learning, research, and partnerships with the goal of achieving excellence and maximum impact. These initiatives can span various disciplines, colleges, campuses, and industry sectors, connecting diverse communities of problem-solvers around creating measurable change. They are a key pillar of the university's new academic plan, and a means for Northeastern to claim leadership as an institution with broad Global Impact and report to The Office of the Provost.
The person in this role will work closely with the Senior Vice Provost for Institutes, Centers, and Impact Engines and other stakeholders in defining overall program processes and individual project charters, developing MoUs, schedules, and budgets. The Program Manager will work closely with senior stakeholders to identify project priorities and will create project documentation and processes, and oversee the entire project lifecycle, delivering high quality, innovative solutions.
This position requires confidence, self-discipline, proactive approaches and the ability to work independently with minimum direction. The Program Manager must be able to adapt quickly in rapidly changing conditions and priorities, identifying risks, solutions, and opportunities to ensure goals are met. The position will produce organized and repeatable information to advance the priorities of these programs. The position will provide a comprehensive range of duties to ensure overall efficiency of daily operations and special projects. Under direction of the Senior Vice Provost, this individual will oversee a variety of administrative projects, communicate matters with internal and external constituencies including senior university leadership, faculty, and staff; and design and produce reports and presentations.
MINIMUM QUALIFICATIONS:
- Bachelor's degree and 5-7 years of leading complex projects in
an academic setting (or similar) experience
- Project Management Professional (PMP) preferred
- Proven working experience in a variety of project management
concepts, practices and procedures in an education or start up
environment
- Excellent written and verbal communication skills
- Solid organizational skills including attention to detail and
multitasking skills
- Strong planning skills applied using Smartsheets and other
relevant software.
KEY RESPONSIBILITIES & ACCOUNTABILITIES
Institutes and Centers Management Lead (40%)
- Summarize and create detailed documentation, identifying
administrative support needs and opportunities and setting up
effective communication with the directors and senior leadership
for effective decision making.
- Monitor and arrange for reviews of Provost funded Institutes
and Centers, reporting on the performance using appropriate tools
and techniques.
- Documentation and oversight of institute and center personnel
and budget.
- Identify and report any escalating issues to the Senior Vice
Provost as needed.
- Build Smartsheet assets for teams and train them on their usage
and maintenance of the Smartsheet solution.
- Ensure the Senior Vice Provost has concise status reports on
funded institutes and center.
Impact Engines Management Lead (30%)
- Articulate the complex project pipeline of Impact Engine
proposal to funded project into detailed project documentation,
identifying structured phases to prioritize efficient and effective
communication with applicants and for senior leadership decision
making.
- Monitor and track progress of funded Impact Engine projects,
reporting on performance using appropriate tools and
techniques.
- Manage changes to the project scope, schedule and budget.
- Identify and manage project risk, reporting and escalating
issues to Vice Provost as needed.
- Build Smartsheet assets for teams and train them on their usage
and maintenance of the Smartsheet solution.
- Ensure that all proposals are reviewed and receive feedback in
a timely manner.
- Ensure the Vice Provost has concise status reports on funded
Impact Engine projects.
titutes, Centers and Impact Engines Support (20%)
- Prepare and maintain templates of proposal and funded project
materials, including template proposal materials and template
MOUs.
- Support Senior Vice Provost's preparation of materials for
senior leadership presentations and reports
- Manage the Institutes, Centers, and Impact Engine email
listservs
- Collaborate with the Provost Office Institutional Research and
Decision Support Team to document and provides annual reports about
the demographic and institutional affiliation(s) of participants in
institutes, centers, and Impact Engine proposals and funded
projects
- Coordinate with Provost Office Internal Communications team on
status of Impact Engine communications plans
- Maintain organization of Impact Engine documentation and shared
files
Vice Provost, Global Impact Support (10%)
- As needed, represent the Senior Vice Provost at meetings with
institutes, centers, and impact engine projects
- Assist with complex scheduling needs for the Senior Vice
Provost
- Other duties as assigned
