Position Summary:
Plans, schedules, documents, and supports service delivery for events using established policies and procedures to meet customer need and ensure event compliance with institutional policy in the School of Media, Arts & Communication with a particular focus on the UWO Athletic Band Program (Titan Thunder Marching Band and Bolt Pep Band).

Responsibilities
- Communicates with customers to determine event details and
requirements, evaluates requests, recommends service plans and
pricing, and provides status updates.
- Schedules logistics and secures resources for all aspects of
events including space, vendors, and staff; and coordinates details
and resolves operational issues. Attendance at Marching Band home
performances is required and may include some evening and weekend
Music events.
- Scheduling events facilities and organizing student staff,
including scheduling and approving hours. Identifies, proposes, and
implements new or revised unit operational policies and
procedures
- Monitors and processes event related transactions and event
data and records
- Oversees annual budget and manages expenditures, including
state and foundation accounts (monitoring expenditures, verifying,
and reconciling accounts, preparing, and processing POs and
invoices, purchase of materials, and PCard use)
- Serves as a first point of contact for individuals and groups,
providing basic organizational information via phone, in person,
and electronic media
- Oversees social media accounts for related programs
- Maintains organizational systems and records related to program
operations, equipment, and supplies
- Contributes to the outreach, marketing, and recruiting goals of
the program and school
- Greets customers/guests, assists with registration, answers
questions, and refers complex issues to appropriate entities
Qualifications
Required:
- Experience in an administrative or related position
- Customer service and organizational skills
- Experience with Microsoft Office Suite programs (Word, Excel,
PowerPoint, etc.)
- Commitment to diversity, equity, and inclusion
- Experience in an arts or music environment
Preferred:
- Previous work experience in an educational setting
- Bachelor’s Degree
- Work experience with budgets and/or finance in higher
education, including WISER or similar systems
- Use of computer-based financial and information systems for
budget and data management
- Strong initiative to solve problems; Capacity to adapt to or
create processes to fit changing needs
- Ability to work with frequent interruptions and firm deadlines;
Effective time-management and o rganizational skills
- Occasional lifting, organization, and transport of equipment up
to 50 pounds with or without reasonable accommodation
- Possession of a valid WI driver’s license or the ability to
obtain one and be authorized to drive a university vehicle upon
appointment
