Job Description
The Delivery Services Department includes mail services, receiving and delivery of goods and material, asset management, asset inventory, and surplus auctions.
The primary role of the Senior Specialist is to ensure daily college mail, goods, and material are received, inspected, and delivered to departments in a timely and secure manner while ensuring detailed and accurate records are maintained, and that college assets and equipment surplus are handled properly and are accurately accounted for.
This position is responsible for applying processes, procedures, and policies to the operations of the Delivery Services Department and ensuring Delivery Services is responsible and accountable to college customers, administration and property. And ensures policies are followed when assessing inventory, surplus and postage account data, and provides recommendations on changes to program functions, ensuring that overall goals and objectives are met.
Incumbent will assist the with following: asset inventory tasks, preparing and processing equipment surplus and auctions, maintaining accurate departmental records, and providing recommendations on changes to program functions, all while ensuring that overall goals and objectives of the department are met.
This Senior Specialist is required to provide exceptional customer service to internal and external customers, respond to emails, voicemails, and in person communications. Additional duties include assisting other college departments with various tasks such as helping move surplus items, transporting motor pool vehicles, and performing research as it relates to asset inventory.
This position is exposed to extreme weather conditions at times and for prolonged periods while goods and materials are being received or prepared for movement. Periodically heavy lifting and physical exertion are necessary to complete tasks. There are instances of exposure to situations, materials, and circumstances that require safe practices and procedural assessment regarding resources (tools, labor, equipment, etc.) to perform tasks responsibly and safely.
Incumbent will be expected to maintain and safely operate various motor pool vehicles, golf carts, flatbed push carts, furniture dollies, various forklifts and pallet jacks, while also practice proper lifting techniques, and adhering to Risk Management, EHS&S, and OSHA guidelines and policies.
This position will be required to cross train at the other CSN locations to operate services during times of staff shortage.
Required Qualifications
- Bachelor's degree from an accredited college or university in
Business or related field; OR equivalent combination of
experience and education.
- OR Associate degree from a regionally accredited college
of university with at least 2 years' experience in delivery
services, asset management, inventory, surplus sales or related
field.
- OR No college degree with at least 4 years' experience
in delivery services, asset management, inventory, surplus sales or
other related field.
- Valid driver's license.
- 2 years of experience in delivery services, asset management,
inventory, surplus sales, or related field.
Preferred Experience:
- Ability to use automated postage machines and various warehouse
equipment.
- Familiarity with NSHE Board of Regents Policy.
- Knowledge of NSHE insurance requirements.
- Familiarity with Purchasing and Asset Accounting processes with
regards to equipment.
- Ability to create spreadsheets and reports.
- Familiarity with Workday or other EPS programs common with
higher education.
The ideal candidate should possess the following knowledge, skills, and abilities:
- Proficiency in use of a personal computer and current software
applications including but not limited to Microsoft Office Suite
(Word, Access, Excel, PowerPoint, and Outlook).
- Skilled in data entry with minimal to no errors.
- Excellent interpersonal and group communication
skills.
- Excellent oral and written skills.
- Make decisions and take actions independently for a variety of
diverse situations.
- Show a high degree of creativity and initiative to accomplish
tasks.
- Knowledge of receiving and mail service concepts.
- Solid knowledge of asset inventory and equipment
surplus.
- Thorough knowledge of receiving and mail service concepts
inclusive of package tracking.
- Ability to manage time, multitask and meet
deadlines.
- Familiarity with asset tracking and inventory.
- Strong customer support and communication skills.
- Willingness to regularly interact with internal and external
customers.
- Demonstrated ability to work effectively with a diverse group
of individuals in a manner that contributes to building and
maintaining an effective and cohesive work team.
- Familiarity with United States Postal Services and Federal
Express guidelines.
- Ability to analyze problem situations, identify feasible
solutions and present recommendations in a concise, logical, and
systematic manner.
- Ability to drive a state Motor Pool Vehicle.
- Ability to safely operate automated postage machines and
various warehouse equipment such as golf carts, pallet jacks,
forklifts.
- Present good judgement, honesty, integrity, responsibility,
punctuality, and reliability through the utilization of
professional work standards.
- Ability to work effectively with a diverse group of individuals
in a manner that contributes to building and maintaining an
effective and cohesive work team.
