Job Description:

The CE and Credentialing Coordinator is responsible for managing faculty appointments and credentialing for the College of Osteopathic Medicine (COM), ensuring library access, and tracking continuing education credits. They provide essential administrative support for the CE Committee and collaborate with key accrediting bodies such as MAOPS, AOA, ACCME, AMA, ADA, and APA to oversee university accreditation for CE events. The role involves planning, implementing, accrediting, and evaluating CE activities, and supporting adjunct faculty credentialing and appointments, in alignment with the university's CE mission and objectives.

Essential Responsibilities:
  • Ensure timely credentialing and re-credentialing of physician preceptors and GME faculty, including compiling and processing candidate files for review and approval
  • Oversee all aspects of continuing education (CE) accreditation, including maintaining CE Committee records, scheduling meetings, and ensuring compliance with MAOPS, AOA, ACCME, AMA, ADA, and APA standards
  • Develop and manage CE activities by identifying practice gaps, writing objectives, recruiting faculty, managing commercial support, and evaluating activities
  • Arrange audiovisual support, logistics, and distribution of CE materials, and provide on-site or virtual support during CE activities
  • Ensure CE activities meet compliance requirements, secure necessary disclosures, and report CME hours to traCME and other agencies
  • Summarize evaluations of CE activities, distribute them to the CE Committee, and assist in analyzing overall CE programs
  • Collaborate with marketing and alumni relations to design and distribute promotional materials for CE activities and manage communication with potential CE speakers
  • Maintain detailed records of CE activities, including attendance, evaluations, and accreditation documentation. Report CE credits to appropriate agencies
  • Incorporate new developments into CE efforts, such as new techniques, materials, and teaching methodologies, and assist in research and development related to CE
  • Assist with adjunct faculty reporting, affiliation agreements, and preparation for CE presentations. Develop and maintain cooperative relationships with speakers and other departments


Skills and Knowledge:
  • Familiarity with office procedures, including word processing, managing files and records, and general clerical tasks
  • Knowledge of customer service principles, including needs assessment, and quality standards
  • Strong interpersonal skills and effective communication abilities, including strong writing skills
  • Ability to manage time effectively and handle multiple responsibilities.
  • Excellent computer skills, particularly in Microsoft Office, and database experience
  • Understanding how systems should work and how changes in conditions affect outcomes
  • Strong editing and proofreading skills


Qualifications:
  • Bachelors degree or at least five years of experience in coordinating programs and services
  • Two years of experience in medical education preferred.
  • Familiarity with accreditation requirements and CE standards and regulations preferred
  • Ability to effectively coordinate and prioritize multiple projects, including capability to meet deadlines and complete assignments
  • Punctuality, attention to detail, and awareness of team dynamics
