IT@JH Enterprise Business Solutions (EBS) is seeking an IT Project Administrator who will be responsible for all phases of project management of implementing complex technology solutions that support the mission of the Johns Hopkins Institutions. Will participate in planning and tactical execution of technology initiatives; facilitate communications between departments within the Johns Hopkins Institutions as they relate to the use of technologies; coordinate the work of teams of IT and non-IT professionals.

Specific Duties & Responsibilities

  • Scope of work is at enterprise level with typical projects impacting the broader customer base of Johns Hopkins University and Johns Hopkins Medicine and its most mission critical systems.
  • Projects will include complex, large-scale implementation of IT solutions.
  • Projects often require interaction with various departments and teams both within and outside of the IT@JH department.
  • Coordinate and work closely with Project Managers (PM), Relationship Managers (RM), Development Mangers (DM) and pods members in EBS with regards to project estimation, facilitating backlog grooming, scrums, Sprint Planning, Jira and Tempo administration and Maintenance, including progress tracking and reporting.
  • Create and maintain Sprint schedule to monitor Project progress and status for various project stages.
  • Assist in the identification and track a list of impediments and work through the resolutions of impediments. Assist EBS management with team and consultant on-boarding.
  • Develop the scheduling of regular meetings and record\update decisions (e.g. assigned tasks and next steps).
  • Prepare and provide Project related documentation to internal teams and key stakeholders.
  • Retrieve necessary Project information (e.g. user/client requirements and relevant case studies).
  • Assist with Project cost tracking and expenses.
  • Assist with tracking developed metrics, dashboards and reporting on individual Project/Portfolio performance.
  • Assist with the creation and build process maps and Process flows and suggest opportunities for automation.
  • Build automations using MS Power Automate, MS Flows, Jira Automation etc.
  • Jira / Tempo Administration and Maintenance.
  • Other duties as assigned.


Specific Devices, Software, Projects
  • Uses various team software tools to plan, track and deliver EBS related efforts. These tools may change, and the staff member should be open to learning and developing expertise in each. Currently these include Jira, Tempo, Smartsheet, Excel, MS-Power tools, Zoom, MS-Teams, to name a few.
  • Solid comprehension of Software Development Life cycle (SDLC), databases, web applications and networking environments, Business Intelligence and User Experience design (UX).


Scale/size of Area, Project and/or System Supported
  • The Johns Hopkins ERP system supports every position at all locations (world-wide) of the enterprise (60,000+) and is considered a highly complex environment.
  • The current ERP system has more than 450 interfaces with other applications both internal & external and considered a highly complex implementation. This position will support in one capacity or another all aspect of projects associated with the support, maintenance and enhancements of these systems, both on-premise and in the Cloud.
  • Projects will be extremely complex and varied in nature and also requires the ability to balance the demands of multiple projects.
  • Projects will require business knowledge in IT domains such as HR/ Payroll, Supply Chain and Finance, etc.

  • Proficient in collaborating with remote/distributed teams across diverse geographical locations, frequently dealing with varying time zones.
  • Preferred Experience working with business analysts, User Experience (UX) and Software Development teams.
  • Open to learning latest project management tools as required.

Technical Qualifications or Specialized Certifications


Project Management Methodologies

  • Proficiency of project management methodologies (e.g., SAFe, Agile, Scrum, Waterfall) and their application within IT application development setting.
  • Proficiency with facilitating meetings - Backlog grooming, daily scrums, sprint planning and retrospective.
  • Previous experience implementing process improvement initiatives would be preferred.


Project Management Tools

  • Proficiency in following project management and service management tools - Jira, Smartsheet, ServiceNow, Confluence, Excel.
  • Proficiency in Smartsheet which involves conducting the analysis, design, development, evaluation, testing and implementation of complete Smartsheet solutions for Portfolio, Program & Project Tracking and Resource Management, as well as Process Improvement Management.
  • Advanced knowledge of Atlassian Jira – configuration, creation of Kanban and Scrum boards based on the needs of different teams, maintaining sprints. Time Management using Tempo Planner; Ability to train and support teams on Jira usage and best practices.


Project Reporting
  • Advanced knowledge of Project data analysis consisting of large datasets by using Excel & Smartsheet.
  • Expertise with design and creation of dynamic project reports and dashboards within Smartsheet, Jira and Excel.
  • Advanced knowledge of Microsoft Excel - highly-proficient in Functions, Formulas, data Analysis tools on Excel – Power Query, Pivot tables, and creation of dynamic dashboards.


Minimum Qualifications
  • BS Degree preferably in information systems, business administration, management or project management. Work experience may be substituted for degree where appropriate.
  • Requires 4 years relevant experience, at least 2 years’ prior Project Management experience with complex / enterprise scale technology Implementations.
  • Additional experience can be substituted for education. Additional education may be substituted for experience.


Preferred Qualifications
  • Project Management Professional (PMP) or other equivalent certifications desirable.
  • Following experience will be a plus: Complex software development projects such as of ERP system implementations, system upgrades, database migrations, web/mobile applications development.

The pre-employment physical for positions in clinical areas, laboratories, working with research subjects, or involving community contact requires documentation of immune status against Rubella (German measles), Rubeola (Measles), Mumps, Varicella (chickenpox), Hepatitis B and documentation of having received the Tdap (Tetanus, diphtheria, pertussis) vaccination. This may include documentation of having two (2) MMR vaccines; two (2) Varicella vaccines; or antibody status to these diseases from laboratory testing. Blood tests for immunities to these diseases are ordinarily included in the pre-employment physical exam except for those employees who provide results of blood tests or immunization documentation from their own health care providers. Any vaccinations required for these diseases will be given at no cost in our Occupational Health office.
