Position Summary

This position will directly support the undergraduate and graduate Admissions application process.

Major Responsibilities

Application Process Support
  • Manage admissions application loading into our student information system (Banner). This involves exporting/importing of data files from various secondary vendor databases. This also includes running complex processes and data queries to maintain data quality and accuracy. This position serves as an Admissions liaison to the Administrative Computing Center.
  • Manage various sub-processes such as creation of lists and reports. This position will generate and disseminate several reports to other admissions staff in order to guide application processing.
  • Assist with daily procedural tasks related to various database tools such as Banner, OnBase and Slate.
Office Support
  • Manage the correspondence efforts of the Admissions/Graduate Admissions Office. This includes printing and assisting with the mailing of a large volume of letters to various constituents. This position does not type the various correspondence, they merge data files that include several data points into existing templates. This position then distributes the correspondence to other staff members for further processing.
  • Manage the data verification and mail merge process associated with Admissions publication/marketing mailings.
  • Support Admissions Office with correspondence and coordination of various recruitment programs. This includes on-campus visitation programs, information sessions, and open house programs.
  • Assist other members of the support staff with priority projects or responsibilities. This includes the rotation of assistance as back-up receptionist, mass mailings, application processing, answering phones, emails etc.
  • Work with other office staff in support of the college mission to ensure continuity of operational success.

Required Qualifications

1. Permanent Competitive Appointment Option:

Eligible List Appointment: Candidates must be reachable on the Civil Service eligible list for this title. If you are on the Civil Service eligible list for this title, you may receive a canvass letter via email. You must record your response via NY.gov and follow instructions in the canvass email.

2. Non-Competitive Appointment Option: This title is part of the New York Hiring for Emergency Limited Placement Statewide Program (NY HELPS ).

For the duration of the NY HELPS Program, this title maybe filled via a permanent, non-competitive appointment, which means no examination is required but all candidates must meet the minimum qualifications of the title for which they apply.

At a future date (within one year of permanent appointment), employees hired under NY HELPS will have their non-competitive status converted to competitive status, without having to compete in an examination. While serving permanently in a NY HELPS title, employees may take part in any promotion examination for which they are qualified.

NON - COMPETITIVE QUALIFICATIONS - To be considered for appointment through NY HELPS, or 55 b/c, candidates must meet the open-competitive minimum qualifications for this position.
This position may be designated 55 b/c and is subject to verification of applicant eligibility.

The qualifications are: One year of clerical experience.

Preferred Qualifications

Preferred knowledge, skills, and abilities:
Excellent customer service skills, organization and attention to detail,
dependability and flexibility, proficiency with Microsoft Office Suite and other web-based programs, and strong time management skills.
The ability to create spreadsheets and to develop/edit macros are major skills necessary in this position.
