Job Description:
Budget Title: Assistant Facilities Program Coordinator (SL-3)
Salary: $56,000 - $62,000
The Logistics and Event Services Coordinator is a UUP professional position reporting to the Building and Event Services Manager. The incumbent will oversee the Comprehensive Sustainable Waste Management Program and associated personnel, oversee the Expediting (moving) crew, assist with coordination of Facilities Management (FM) services for events, and assist with various logistics tasks.
Major duties & responsibilities include:
- Perform a full range of supervisory duties for assigned staff (including permanent, temporary, & student staff), to include participating in the hiring process, training, time-keeping & scheduling, work assignment, & evaluation.
- Administer the Comprehensive Sustainable Waste Management Program in accordance with applicable federal, state, & local laws, and SUNY and University policies. Implement the "Reduce, Reuse, Recycle" waste hierarchy as the guiding principle for all waste management activities.
- Implement a plan, by building, to collect reusable, recyclable, & compostable materials, as well as universal waste. Continually monitor recycling centers in buildings to ensure proper placement, aesthetics, & signage.
- Administer various waste management program contracts including refuse removal, universal waste removal, & confidential shredding. Monitor contractors' contract compliance and address any issues. Act as contractors' primary University contact. In consultation with the Building & Event Services Manager and Assistant Director of Operations, recommend revisions to contract specifications as needed to meet the University's operational needs.
- Oversee the Expediting crew. Consult with customers, review scopes of work and provide estimates as needed, schedule work, and ensure timely completion of work orders.
- Assist with the coordination of event support services. Act as the FM representative and primary contact person for all assigned events from planning through execution. Meet with and advise clients; prepare estimates; coordinate FM services, including preparing diagrams and work orders, scheduling personnel, and directing setups & tear-downs; and review & reconcile customer billing statements.
- Assist with various logistics tasks, including equipment repair, maintaining supply & equipment inventory, and procurement of equipment and supplies in accordance with established procedures.
Although the primary schedule for this position is day shift, Monday - Friday, due to the nature of facilities operations and event coordination, the ability to work a non-standard work schedule (including evenings and weekends) may be necessary at times. Weekend & evening work will be required to support the events, expediting, and waste management responsibilities of this position, including, but not limited to, Move-In, University Fest, Family Weekend, Homecoming, Open Houses, Spring Fling, & Commencement. This position is designated as Essential.
This is a 100% salaried professional position, annual renewal, and is eligible for the NYS benefits package.
Requirements:
- Associate's degree
- 3-5 years of relevant experience working in an office setting
- Strong computer (Windows) literacy, the ability to use MS Office (e.g. Word & Excel) & Google Workspace applications, and the ability to learn other software applications such as databases, time-keeping (Kronos), and CMMS (Maximo)
- Excellent organizational and communication skills
- Ability to perform calmly under stress, handle multiple simultaneous assignments, independently prioritize workload, & adapt to rapidly changing priorities
- Valid driver's license to operate a vehicle in NYS
- Bachelor's degree in a related field
- Supervisory experience
- Facilities management and/or event coordination experience
- Experience with CMMS or database applications
- Experience with CAD or diagramming applications
