The Atmospheric, Oceanic and Earth Sciences department in the College of Science offers undergraduate degrees in Atmospheric Sciences, Earth Science and Geology, MS degrees in Earth System Science and Climate Science, and a PhD in Climate Dynamics. About the Position:

The Department of Atmospheric, Oceanic and Earth Sciences in the College of Science (COS) seeks a part-time Administrative Assistant to provide general administrative support to the Department Chair, Associate Chair, the Center for Ocean-Land-Atmosphere Studies (COLA) Director and Faculty and serve as a backup for the Fiscal and HR Analyst.

Responsibilities:
  • Develop and maintain effective customer service processes for the front desk/reception area;
  • Prepare and submit journal vouchers to move costs to appropriate accounts;
  • Track/collect materials and update a variety of databases and lists;
  • Maintain working knowledge of university programs, processes, and procedures including but not limited to Banner and MicroStrategy, 25Live, Excel, Outlook;
  • Ensure state and Mason regulations, procedures, and timelines are followed when performing all tasks including purchasing (Mason PCard and eVA);
  • Process direct expenditures such as travel, food and beverage, and check requests;
  • Manage equipment for AOES: conduct equipment inventory, receive new equipment, and surplus old equipment;
  • Coordinate travel for external AOES visitors;
  • Cross-train responsibilities to always ensure effective office continuity;
  • Assist with reconciling department funds;
  • Assist with web-design and website management as well as, social media management; and
  • Other administrative duties as assigned.
Required Qualifications:
  • High School diploma or equivalent and 1 year of experience in a comparable position;
  • Knowledge of office procedures and current technology including MS Office, Outlook, and web-based applications necessary to carry out the duties of this position;
  • Customer service, organizational, and communication skills; and
  • Demonstrate the ability to work independently and in a team to include working with diverse populations.
Preferred Qualifications:
  • Associate degree or 1 year of experience in a comparable position; and
  • Web-design and website management experience and social media accounts management.
