Summary of Job Duties:Summary:
The Arkansas 4-H Department's Administrative Specialist II is responsible for researching & preparing special reports, examining & verifying documents, & performing general office duties.

Duties:
•tAssists assigned 4-H faculty and staff in gathering, editing, printing, and entering data for various documents and reports such as evaluation narratives, newsletters, and training materials.
•tAssists with enrollment system by answering questions from county staff members regarding 4-H enrollment and registration issues.
•tMaintains files consisting of correspondence, reports, and subject matter material for assigned 4-H faculty and staff. Assists other staff and faculty in the department if needed.
•tMaintains the office supply inventory and orders additional supplies for faculty and staff as needed.
•tPrepares and submits travel forms and expense reimbursements for the faculty and staff members in the department. Processes p-card receipts and paperwork. Reserves vehicles for faculty and staff as needed from motor pool.
•tResponsible for answering phone calls in the department. Responds to inquiries and requests for information when possible or directs callers and visitors to appropriate staff member. Provides secretarial support to assigned faculty or staff in the department. Assists with the preparation and copying of documents or materials that are needed for meetings, events, workshops, and trainings. Types and submits letters, emails, and other documents.

Qualifications:

Minimum Qualifications
The formal education equivalent of a high school diploma; plus two years of experience in a specialized or related area applicable to work performed.

OTHER JOB RELATED EDUCATION AND/OR EXPERIENCE MAY BE SUBSTITUTED FOR ALL OR PART OF THESE BASIC REQUIREMENTS, EXCEPT FOR CERTIFICATION OR LICENSURE REQUIREMENTS, UPON APPROVAL OF THE QUALIFICATIONS REVIEW COMMITTEE.

Knowledge, Skills & Abilities

  • Knowledge of digital and hard copy record keeping procedures & maintain filing systems.
  • Knowledge of Microsoft Word, Excel, and computer hardware. Ability to compile data into report form.
  • Ability to operate standard office equipment such as copiers, printers, & scanners.
  • Ability to analyze documents to determine compliance with rules, regulations, & procedures.
  • Ability to communicate effectively, correctly, and professionally both orally & in writing.
  • Employ sound self-management skills and ability to take initiative
  • Ability to works effectively with extension team members address the needs of clients and co-workers.


Salary Information:

23,880 - 27,462
