Job Summary:
The Director of Payroll and Accounts Payable is responsible for the accuracy and timeliness of payroll, invoice, and expense report processing at Bowdoin College. Cultivating strong working relationships with all employees, including various stakeholders such as the Vice President for Human Resources, Controller, Director of Accounting & Financial Reporting, Workday Product Managers, budget managers, campus administrators, and vendors is a critical component of this position. Confidentiality, adhering to internal controls, and operating in a secure manner are imperative.

Essential Functions:
  • Manage payroll operations ensuring the accurate and timely processing of scheduled payrolls by establishing and maintaining critical payroll controls and procedures, performing pre- and post-payroll processing audits, identifying, and resolving technical and processing issues, and implementing functionality enhancements.
  • Manage accounts payable operations ensuring the accurate and timely processing of all invoices and expense reports. Conduct spot audits of reimbursement forms, vendor invoices, and other items to ensure compliance with policies and procedures.
  • Understand and comply with all federal, applicable state wage and hours, FIT/SIT/Local/FICA withholdings and SUI reporting, student FICA exemptions, federal/state/creditor withholding orders and foreign national tax treaty and withholding/reporting regulations.
  • Coordinate and produce IRS Forms W-2, 1099-MISC, 1099-NEC, 1042-S,and 941, along with other required reporting standards.
  • Oversee the timely remittance and reporting of all federal, state(s), local, and foreign taxes. Ensures the accuracy of 401(a) calculations and timely remittance of all 401(a) and 403(b) contributions. Also responsible for a number of other payroll calculations and remittances.

Education/Skills Requirements:
  • Bachelor’s degree in Business Administration, Accountancy or related field; APA certification strongly preferred (CPP or FPC).
  • Strong analytical, customer service, and interpersonal skills required.
  • Strong computer skills including ability to use advanced functions in Microsoft applications such as Excel.
  • The ability to work harmoniously with a variety of constituencies.


Experience Requirements and/or Equivalents:
  • Five or more years as a manager of payroll processing, including at least two years of supervisory experience required.



Preferred:
  • Understanding of payroll issues unique to a college environment (e.g. foreign tax treaties, faculty pay issues).
  • Experience with Workday (Human Capital Management, Payroll for United States, Expenses, Time Tracking, Procurement, and Core Financials).


Standard Work Days and Hours:
  • 8:30am - 5:00pm M-F or as scheduled with the Controller (Salaried position requiring time commitment necessary to satisfactorily complete job requirements.)
  • Occasional out-of-state travel required.
  • The anticipated start date for this position is between September 15 - November 1, 2024.
