Duties & Responsibilities

Summary
Performs a wide variety of administrative, logistical, operational, and technical tasks related to operating a school, department or business unit. Typical responsibilities may include tracking and scheduling projects; filing summary reports; archiving; communicating with vendors; managing invoices; providing responses to email and/or phone inquiries. May work independently or as a member of a team. Works under intermittent supervision, resolving most standard issues independently and referring complex issues to an upper-level manager. Typically reports to a supervisor or manager or in some areas may report to an administrator.

Typical Duties
  • Provides high level administrative coordination essential to assigned location/unit
  • Duties include day to day purchasing, expenditure and salary tracking, revenue management, timekeeping, and executive level administrative support to three senior level administrators
  • Reporting to the Interim Senior Associate Vice Provost, the Coordinator interacts directly with vice provosts, directors, university administrators, faculty, staff, HR Associates, and student employees, and is a key member of the administrative team
  • Essential duties in calendar management, email communication, travel planning and reimbursements, room reservations for meetings, and attend senior level management meetings to provide meeting minutes or to document outcomes from meetings
  • Order office supplies, food purchases, etc. in an appropriate and proactive way and manage all special purchases using the eVA procurement system and a university purchasing card
  • Monitor expenditures using a detailed tracking system to ensure spending is within budgetary constraints and resolve any issues in a timely manner
  • Operates office in an efficient manner and other relevant duties as assigned

Qualifications

Preferred Qualifications
  • Bachelor’s degree
  • 5 years' experience in administrative setting
Minimum Qualifications
  • Required High school diploma or equivalent
  • Minimum 3 years' experience in administrative setting
  • Demonstrated experience working in and fostering a diverse faculty, staff, and student environment or commitment to do so as a staff member at VCU
