The W. P. Carey School of Business, where business is personal ®, is searching for a Program Specialist to join its Executive Education, Corporate Partnerships, and Lifelong Learning Team (EECPLL). The position manages various aspects of the day-to-day operations of the Sr. Associate Dean’s office and serves as administrative contact for the office. We are seeking an individual with high level of interpersonal skills to handle mission critical situations and exercise prudent judgment with demonstrated poise, tact and diplomacy. Candidate must possess the ability to interact and communicate with a diverse community of individuals at all levels of the organization.
This position executes on the front-line of exceptional program delivery and innovation by assisting on all operational aspects of assigned events, managing communications, and organizing program logistics, and is responsible for efficient, cost-effective program coordination with the goal of providing extraordinary customer service in online, oncampus/ in-person, and/or hybrid environments. The Program Specialist will be responsible for coordinating and assisting with events for employers and participants and tracking participants using a Participant Data Management Software.

Essential Duties
- Promotes a positive image of the University by greeting and recruiting visitors to the Sr. Associate Dean’s office.
- Responds to inquiries from diverse University constituents (e.g., learners, corporate stakeholders, faculty, staff, alumni)
- Refers inquiries or problems to the appropriate office or person, resolving problems, and following up to determine the inquirer's satisfaction with the response.
- Manages the Sr. Associate Dean’s calendar, including setting up meetings, making travel and accommodations arrangements and submitting appropriate credit card reconciliations/travel and expense reimbursements.
- Competently manages the scheduling of meetings via various platforms such as Zoom, Google, and other virtual settings.
- Prepares correspondence for distribution or approval and signature, checking the documents for completeness and accuracy with the highest attention to detail.
- Prepares word-processed reports, memorandums, and meeting minutes with a high level of accuracy and efficiency.
- Prepares reports and effectively and clearly communicates with team members in a timely and professional manner and assists with events.
- Provides administrative support as needed to all members in the Sr. Associate Dean’s office as needed.
- Contributes to a work environment that encourages knowledge of, respect for, and development of skills to engage with those of other cultures or backgrounds.
- When needed, performs tasks contributing to online and in-person program deliveries including participant registration, digital platform setup; maintenance, classroom booking and setup, curriculum and content coordination, copyright orders, catering selections, prepare seating charts, materials shipping, print orders and digital file organization, compile and distribute evaluation data, provide support to Program Managers.
- Anticipate, identify and troubleshoot risks that have the potential to affect program success.
- Monitor for continuous improvement possibilities for future enhancements to the client experience and internal efficiencies
- Order office supplies, maintain inventory
- Assist in the coordination and execution of WPC special events and conferences
- Physical presence at the workplace is an essential function of this position
- Other general administrative and operational duties, as assigned
Minimum Qualifications
Bachelor's degree in a related field AND two years administrative/coordination experience; OR Any equivalent combination of experience and/or education from which comparable knowledge, skills and abilities have been achieved.

Working Environment
Professional, global, team-based environment; primary location is downtown Phoenix. In-person and remote collaboration with local and global colleagues. Majority of activities are performed in an environmentally controlled office setting. Use of E-mail, phone, and a variety of digital platforms. Use of software and computer equipment (monitor, keyboard, mouse) for extended periods of time. Use of office equipment: printers, copiers, fax machines, telephones,calculators. Lift and transport up to 20 pounds. Sustainability is embedded into departmental goals and operational practices.
