Administrative Assistant/Mailroom Clerk

Job Description

This position serves as both Administrative Assistant and Mailroom Clerk for the Physical Plant; assisting in the daily operations of the department and U.S. mail processing on campus.

ESSENTIAL DUTIES :

Administrative Assistant Duties:
  • Serves as initial contact, answers telephones, emails, assesses and responds to inquiries; provides appropriate information and direction.
  • Prepares and reviews reports, forms, and documents; ensures compliance with policies and campus procedures; maintains web pages; schedules and prepares for meetings and/or special events.
  • Processes purchase orders, remittance vouchers, and maintains office supplies.
  • Assists with supervision of student employees.
  • Serves as operational liaison to other departments, campus, and community.
  • Assists with budget and financial information, such as maintaining balances, researching discrepancies, and preparing reports and recommendations.
  • Assists in the coordination and publicity of departmental activities.
  • Performs other duties of a similar nature or level.
Mailroom Clerk Duties:
  • Prepares outgoing mail, parcels, and freight for shipment.
  • Interprets and adheres to federal postal regulations for mail and parcel deliveries to the post office.
  • Receives, sorts, and distributes incoming U.S. mail and campus mail.
  • Receives, records, and distributes freight and parcel shipments to campus departments.
  • Compiles and maintains reports and account records pertaining to postage usage and shipments.
  • Prepares and distributes monthly billings for postage.
Knowledge, Skills and Abilities:
  • Office principles and practices.
  • Basic mathematics, grammar and writing formats.
  • Knowledge of postal regulations and equipment.
  • Knowledge of inventory procedures and records, and the ability to maintain records.
  • Proficient in Microsoft Office programs and other general office equipment.
  • Organized thinker with exceptional attention to detail.
  • Excellent communication skills, both verbally and in writing.
  • Ability to effectively organize and prioritize work as well as concentrate on multiple tasks simultaneously.
  • Strong customer service skills.
Required Qualifications
  • This position requires a High School Diploma or equivalent.
  • One year of specialized training in administrative support or a related field; and
  • Three years of administrative support or related office experience
  • A valid driver’s license is required.
Preferred Qualifications
  • Two (2) years of mailing and receiving experience.
Physical Demands
  • Medium Work – Exerting up to 50 pounds of force occasionally, and/or up to 20 pounds of force frequently, and/or up to 10 pounds of force constantly to move objects
  • Requires the ability to climb, balance, kneel, stoop, and reach.
  • Required to use close vision and be able to focus.
  • Regularly required to talk and hear; frequently required to sit, stand, and bend at the knee and waist, and walk.
  • Must be able to have repetitive wrist, hand and/or finger movement to type and work on computer.
  • Must have finger dexterity and hand-eye coordination to work on computer, telephone, and related office equipment.
  • Regular attendance is a necessary and essential function.
