Provide administrative support and office management for comprehensive Career Services Center, including but not limited to performing and leading receptionist duties, scheduling appointments, gathering and organizing data, assisting with event planning, communicating with various stakeholders, generating and managing requests for on-campus services, monitoring multiple budgets, and supervising student staff.

Program Assistant (AH30/61122196), full-time position with benefits. SC State Pay Band: 04 . Salary range: $31,561.00 (minimum) - $41,763.00. Normal work hours are Monday through Thursday, 8:00 a.m. to 5:00 p.m., and Friday, 8:00 a.m. to 12:30 p.m. Must be flexible to meet the special scheduling needs of the university.


Duties include, but are not limited to:

Manage administrative services for the Career Services Center by supporting all staff overseeing and leading Career Education, Internships, Professional Development, Employer Engagement and other service areas as they evolve. Manage electronic communications, purchase orders, printing requests, space utilization, appointments, space scheduling, and other services as needed. Initiate, facilitate, and ensure completion of all work orders and contract reviews for the department (including building maintenance, equipment maintenance, IT maintenance, legal counsel, marketing/communication services and event services). Monitor several Career Services budgets, order and inventory supplies, facilitate purchase card processes, and serve as first point of contact for procurement, accounts payable, and receiving. Develop and maintain up-to date production calendar, ensure that all events are uploaded to attendance collection platforms, manage website, produce reports that reflect assessment data, and work with Career Services staff to collect, organize, and visually present data.

Manage internal operations for career services management system: serve as first point of contact for employers interested in posting jobs/internships, on campus interviews, career fairs, tabling, and interacting with faculty by maintaining employer database and web-based recruitment and evaluation systems. Oversee screening and approval/rejection of all employer account requests, employer events, professional positions and internships on CCU Handshake. Implement all Career Services employer engagement policies while managing database approvals.

Manage all human resources processes and maintain documentation for hiring, onboarding, and deboarding. Hire, train, supervise, and provide professional development for student staff, including graduate assistants. Coordinate and provide front desk customer service staffing.

Assist with all facets of event planning and implementation for students, employers, and alumni including logistics, operational aspects, space utilization and scheduling, facilities requests, assessment data collection, and direct contact/correspondence with employers, students/alumni and faculty.

Manage programming for University Career Closet to include securing and organizing professional clothing; promoting the closet; and assisting students and alumni with accessing and selecting professional attire. Provide exceptional customer service to all constituents, including but not limited to, faculty, staff, students, alumni, visitors, employers, and the community at large.


Required Qualifications : High School Diploma or equivalent. Five (5) years of administrative support related experience. Equivalent education, training, and experience will be considered.

Preferred Qualifications: Bachelor degree. Experience with marketing, outreach, digital and content design for multiple mediums.

Knowledge, Skills & Abilities: Ability to create and maintain effective and courteous working relationships with students, alumni, faculty/staff and potential employers. Excellent communication both orally and in writing; organizational skills, particularly as it relates to office management and employer engagement. Excellent editing, scheduling and time management skills. Ability to manage and implement technology; collect and manage data as it relates to career services assessments; manage CCU career services management system and webpage; supervise student workers. Advanced knowledge and skills in computer office systems related to career services assessment, office management, and administrative support.
