Job Summary

Counseling and Psychiatric Services (CAPS) encourages applications for an Administrative Assistant II ! This position is responsible for providing a broad range of administrative support functions for CAPS including clinics, embedded offices, and the main office at the Center for Community (C4C). Duties include answering phones, scheduling appointments, providing customer service to students in-person and electronically, entering patient information into the electronic health record, and assisting with front office needs and projects. This position provides efficient, friendly, and confidential customer service to CU students, parents, faculty and staff.

What Your Key Responsibilities Will Be

Office Operations
  • Completes daily front office operations, including answering telephones, directing callers, scheduling appointments and updating computerized appointment schedules from written and/or verbal directions, and answering financial and logistical questions for a variety of mental health services.
  • Greets and checks-in patients both in-person or virtually, with particular emphasis on creating a warm, welcoming and safe environment with responsive, high-quality, confidential customer service.
  • Inform students about covered services and services offered at CAPS. Help students navigate scheduling and answer questions.
  • Call clients on waitlists as appropriate.
  • Build relationships with CAPS staff, offering support to counselors related to client flow and office operations.
  • Serve as a liaison to the assigned provider team.
  • Manage end-of-the-day duties for transferring communication systems to after-hours services and closing the office. Run end-of-the-day reports as necessary.
  • Provide cross-coverage to different clinic locations.
  • Enroll and/or refer students to appropriate groups, workshops or campus offices.
Records Management
  • Process documents that require scanning into the patient’s electronic medical record (EMR). These include documents that arrive by fax, mail, created in CAPS, or hand-delivered.
  • Work with multiple software platforms including but not limited to Medicat, Microsoft Office Suite, and Google Apps.
  • Maintain daily functions related to multiple appointment types (checking client history, appropriate coding of appointment reservations and blocks, scanning schedules for errors or omissions, checking on provider appointment times and safety).
Projects
  • Set up provider's schedules on MediCat each new semester and provide feedback to the Leads Team on urgent needs on scheduling modifications, based on patient's needs throughout the year.
  • Minor cleaning in accordance with Health and Wellness directives and CDC guidelines for optimal clinical hygiene and safety.

What We Require
  • Two years of experience in an occupational field related to the work assigned to the position. Appropriate education will substitute for the required experience on a year-for-year basis.

  • Strong work ethic, dependability, team orientation, and accountability.
  • Digital literacy.
  • Passion for helping students in a mental health capacity.
What We Would Like You to Have
  • Customer service experience.
  • Associate's degree or higher.
  • Experience with EMR systems, Microsoft and Google Applications.
