This position is part of a collective bargaining unit represented by SEIU Local 500 - Provost & Enrollment Division. That means the terms and conditions of your employment are governed by university policy (including the Staff Personnel Policies Manual) and any collective bargaining agreement entered into between American University and SEIU Local 500 - Provost & Enrollment Division.

Job Description:


This position performs the day-to-day financial operations for the Office of Financial Operations in the School of International Service. The Finance and Operations Coordinator will support finance and HR operations at the school and will also provide administrative support to the Office of Financial Operations. This position reports to Assistant Director of Financial Operations and Manager of Personnel Administration.

Essential Functions
  • Finance Operations :Performs the day-to-day financial operations, which includes processing transactions associated with payment of invoices, check deposits, reimbursement requests, and credit card transactions. Liaises with the Accounts Payable and the Procurement & Contracts Department to resolve any issues that may arise. Prepares purchase requisitions, tracks purchase orders and submits invoices, reimbursements, honorarium, and student payments. Resolves problems with vendors, processes vendor forms, reviews Professional Services Agreements and Speaker Agreements, reconciles, and corporate credit card transactions.,. Reviews alcohol service requests and travel booking requests. Answers questions from SIS staff and faculty regarding budget and finance operations procedures over the phone and through the ServiceNow email ticketing system.

  • Personnel Support: Works with the hiring managers on student position job postings, supports recruitment and hiring process, s ubmits e-actions to hire, terminate or implement wage changes for student employees. Reviews student employment related transactions while ensuring university and budget compliance. Initiates and monitors Graduate Financial Assistantship payments, maintain Graduate Assistant evaluation forms proper records keeping and communication in collaboration with SIS Office of Graduate Enrollment and SIS Office of Faculty Affairs. Oversees timely completion of all student employee timesheets for payroll processing and interfaces with the Offices of Human Resources and Payroll to resolve issues. Coordinates with supervisors and the timekeepers to ensure that timesheets are approved on time .

  • Data Analysis and Tracking: Retains detailed accounts for all expense reimbursements and payments. Maintains a computerized tracking system for all purchasing invoices and reconciles these expenses against the general ledgers.. Tracks student salary and stipend payments against faculty research funds as well as other funding sources while maintaining relevant trackers up-to-date. Monitors and tracks work study award balances and communicates with supervisors to determine appropriate action when award is exhausted.

  • Administrative Support: Responsible for administrative duties and daily office operations such as: ordering supplies, scheduling and coordinating meetings on occasion.

Required Education
  • Associate's degree or equivalent

Required Experience
  • 2-4 years of relevant experience

Preferred Education
  • Bachelor's degree

  • $25.00-$29.51 per hour, commensurate with experience.

Position Type/Expected Hours of Work
  • Part-Time

  • Hybrid work arrangement with physical presence three times a week - subject to re-evaluation depending on office needs.

  • This position is union eligible position.

Additional Eligibility Qualifications
  • Excellent organizational skills, attention to detail, written and verbal communication skills, customer service skills, ability to learn new technology/software, and ability to deal with multiple projects are required. Knowledge of word processing (MS Word), email (MS Outlook), and Spreadsheet (MS Excel) skills required. Business, budgeting, and accounting skills required.

  • Experience working with Workday is preferred.
