Preferred Qualifications
  • Bilingual (Spanish).
  • Prior experience with housing contracts, assignments, operations, and occupancy management.
  • Experience with housing management software systems, such as StarRez, and other programs like Banner. Microsoft Office Suite, Adobe Suite
  • Excellent communication and interpersonal skills, with the ability to communicate complex information effectively to diverse audiences.
  • Master’s Degree in Student Development, Education Administration, Business Administration, or related field.
  • Ability to work collaboratively with campus partners and stakeholders to achieve common goals.
  • Ability to work independently and able to manage priorities and tasks.
Job Description

The Coordinator for Contracts & Assignments is responsible for supporting the daily operations of the on-campus housing contracts and assignment process, serving over 8,000 residents with growth expected. This position will share responsibility for coordinating student housing assignments, ensuring accuracy, efficiency, and compliance with university policies and procedures. The coordinator utilizes the department’s housing management software (StarRez) to coordinate assignments, communicate with students, and maintain accurate records. Additionally, the Coordinator assists in developing communication materials, collaborates with campus partners, and represents Housing and Residential Life at various campus events. This position will report to the Assistant Director of Assignments within the Housing Administrative Services unit.

Job Duties

Room Assignments (50%)
  • Operate StarRez to manage the housing assignments process, including room allocation, individual assignments, and room change requests for fall, spring, and summer housing terms.
  • Assist in developing and maintaining an assignments calendar outlining future assignment events and communication timelines to ensure timely and effective communication with students.
  • Assess, manage, and troubleshoot any discrepancies or inaccuracies in housing assignments, taking proactive measures to resolve issues and ensure accuracy.
  • Work closely with the Assistant Director and campus partners to address housing accommodations and assignments, ensuring alignment with university guidelines and student needs.

Customer Service (25%)
  • Represent the department at campus events such as New Student Orientation, Bobcat Days, and other university programs, providing information and assistance to students and families.
  • Respond to information requests and answer questions from students and parents as directed by the Assistant Director, in person, via telephone, and/or via e-mail.
  • Functions as a resource on student, parent, and other institutional issues, including responding to escalated customer service problems.

Communications (15%)
  • Assist in developing communication templates, including contract confirmations, room selection processes, assignment notifications, and deadline reminder emails.
  • Effectively communicate complex information regarding university and departmental policies and procedures to students, prospective students, parents, housing staff, and other stakeholders.
  • Participate in developing and presenting training materials for department staff, ensuring proficiency and efficiency

Other Duties (10%)
  • Participates in all departmental, division, and university meetings and training sessions.
  • Perform other duties as assigned.
