Job Description Summary
Reporting to the Associate Director of Sponsored Research, the Penn Institute for RNA Innovation seeks a full-time Human Resources (HR) Coordinator to provide routine and varied HR duties. The HR Coordinator will oversee the HR needs of the Institute and its collaborators utilizing Workday and other HR-related systems.

Job Description

  • General HR & payroll support for staff and faculty. Responsible for handling sensitive employee data, ensuring the integrity of information, and maintaining supporting documentation. Provide timely and accurate data entry using the University of Pennsylvania's HR database systems. Serve as HR Analyst, Timekeeper, Recruiting Coordinator, Academic Partner and systems subject matter expert.
  • Manage and process requests to hire or reappoint staff, faculty, postdocs, students, temporary workers, and consultants. Responsible for job board postings, employee data changes, and onboarding of all new hires, including requesting/approving systems access, visa processing for foreign nationals/visiting scholars, appointment and reappointment of postdocs, and coordination of faculty affairs. Serve as liaison with International Student and Scholar Services (ISSS) and Biomedical Postdoctoral Programs (BPP) Office.
  • Acquire knowledge of and ensure compliance of labor regulations, University HR policy and practices, and benefits, as well as in-house knowledge of departmental policies, procedures, and projects.
  • Collaborate and interact with various internal and external patrons, including the Perelman School of Medicine Division of Human Resources and Faculty Affairs staff. Serve as liaison between the Institute's business office and staff as well as other offices/divisions of PSOM and HUP.
  • Ensure effective communication and prompt resolution of HR requests, inquiries and issues. Serve as a resource for employees regarding Social Difference, Diversity, Equity and Inclusion related issues, providing guidance, support and advocacy as needed. Draft human resource announcements.
  • Obtain an understanding of Workday business processes; monitor payroll and process electronic timesheets and audit relevant data (e.g., salary increases, leaves, payroll updates etc.). Manage all changes to employee's records. Maintain and track faculty and staff salary payroll distributions and manage annual increase.
  • Run, prepare and compile Human Resources-related reports as needed, utilize and navigate various electronic database programs for HR-related purposes.
  • Assist with performance reviews, performance management processes and/or terminations.
  • Assist the Associate Director of Sponsored Research with the semi-annual effort reporting process.

  • A Bachelor's Degree in Human Resources (or a related field) and 3-5 years of experience, or equivalent combination of education and experience preferred. Comprehensive knowledge of Human Resources practices, employment regulations and employee relations preferred. A demonstrated awareness of cultural competence. Exposure to payroll practices. Experience with Workday HR System a plus. Robust technical skills with a demonstrable experience in MS Office, and MS Excel. A readiness to learn other systems. Ability to manage and prioritize multiple assignments and work efficiently while remaining flexible to unforeseen changes in direction. Must be organized, accurate, thorough, and able to monitor work for quality. Must be dependable, initiative, able to adapt to change, able to follow instructions, respond to management direction, and must be able to improve performance through management feedback. Excellent interpersonal and customer service skills are required. Soft skills a plus.

Salary offers are made based on the candidate's qualifications, experience, skills, and education as they directly relate to the requirements of the position, as well as internal and market factors and grade profile.
