Position Announcement

The Finance and Business Services Department at Utah Valley University is seeking a Supervisor - Disbursements who is a dedicated and experienced individual with exceptional attention to detail.

Under the direction of the Assistant Bursar, this position manages the receiving and refund disbursement process for student grants, scholarships, government student loans, Parent Plus loans, and funds from other outside agencies in compliance with Federal and State Regulations and University policy; directs the refund reporting functions of the department; analyzes and resolves complex or difficult problems encountered within the department; supervises and oversees daily activities of personnel within the department.

Summary of Responsibilities


  • Manages all student refund transactions of Title IV aid, scholarships, personal payments, etc. Analyzes student account activity and Financial Aid disbursements for student refund preparation. Approves student refund transactions to include Title IV, Federal Loan funds, Scholarship awards, and online and in-person payments. Generates daily refund processes for automation and refund reports for manual evaluation. Manages the proper handling of stale-dated or returned Title IV disbursements in accordance with Federal and State laws/regulations. Approves the forwarding of all unclaimed refunds to the State of Utah, including Title IV disbursements. Evaluates, calculates, and approves any resulting refund from approval of the Petition for Exception to the Refund Policy.
  • Supervises and manages personnel including work allocation, training, problem resolution, and enforcement of internal controls and procedures; coordinates leave schedules, evaluates performance and makes recommendations for personnel actions; motivates employees to achieve peak productivity and performance. Creates a cooperative, safe, respectful and quality work environment and promotes development of competent, efficient and professional staff.
  • Assists students with analysis and understanding of financial transactions associated with class registration (adding, dropping and withdrawal of courses), payments, payment plan enrollment, financial aid disbursements, and student refunds. Interacts effectively with students, departments and third-party customers with integrity, confidentiality and a commitment to excellent customer service. Handles complex student problems and inquiries.
  • Manages department websites including /cashier and /tuition. Maintains website accuracy and timeliness.
  • Other duties as assigned.


Minimum Qualifications

Graduation from an accredited institution with a bachelor's degree and one year of experience;
OR an associate degree and three years of experience in accounting or a field related to the summary of duties;
OR any combination of education and/or experience directly related to the summary of duties totaling five years.

Preferred Qualifications
  • Experience using Banner software.
  • Basic knowledge of the Banner Financial Aid screens along with UVU refunding policies and procedures.
  • Must be able to read and understand Student Banner accounts.


Knowledge, Skill, and Abilities


  • Knowledge of generally accepted accounting principles and practices, and UVU policies.
  • Knowledge of handling funds, internal controls, and security.
  • Knowledge of Federal Financial Aid regulations and Return to Title IV Policies.
  • Skills in problem resolution through listening, identifying, and responding to inquiries.
  • Skills in the use of computers and computer applications including proficient use of the Microsoft Office Suite with emphasis on Microsoft Excel. Ellucian Banner experience preferred.
  • Must possess strong supervisory/leadership skills.
  • Ability to operate standard office equipment such as computer, copier, fax machine, scanner and calculator.
  • Ability to communicate effectively with a diverse student, staff, departmental and community population.
  • Ability to provide excellent customer service at all times.
  • Ability to maintain a calm and positive attitude when under pressure.
  • Ability to handle conflict in a professional manner.
  • Ability to compose and edit written materials.
  • Ability to gather data, compile information, and prepare reports.
  • Ability to perform a variety of administrative duties with minimum supervision.
