Engagement Manager for Outreach Programs and Events

Salary:

Minimum $68,000 ANNUAL (12 months)

Job Summary:

The Office of Admissions & Recruitment (OAR) is seeking an Engagement Manager, Outreach Programs & Events to join the events team. The role will support the 50+ outreach programs and events hosted by the Office of Admissions & Recruitment. This position reports to the Assistant Director of Events under the Associate Director of Strategic Communications.

This position will assist in the general coordination of undergraduate admissions outreach programming and events and will specialize in cultivating and sustaining internal and external partner, guest, and current student relations as they pertain to outreach programming and events.

The incumbent will join a team that represents the University of Wisconsin-Madison via prospective first-year, transfer, and international student events, with a goal of attracting, recruiting, admitting, and enrolling a talented and globally diverse student body. The Office of Admissions & Recruitment is within the Division of Enrollment Management (DEM).

UW-Madison is a major research university, nationally and internationally renowned. The Office of Admissions and Recruitment recruits and admits all degree-seeking undergraduate students; our enrolling class is approximately 8,400+ first-year and 1000+ transfer students annually.

Responsibilities: Manages a program and/or programmatic activities. Initiates, develops, and implements operational services that support a defined project, program, work unit, or function to advance program goals and objectives. May supervise staff and/or approve unit expenditures.
  • 10% Plans, implements, executes, and evaluates existing strategies and objectives for a program and makes recommendations to unit leadership for program or function enhancement
  • 10% Identifies workflow needs, contributes to the development of strategic and operational solutions, allocates resources, and implements new or revised unit operational policies and procedures
  • 20% May exercise supervisory authority, including hiring, transferring, suspending, promoting, managing conduct and performance, discharging, assigning, rewarding, disciplining, and/or approving hours worked of at least 2.0 FTE or equivalent employees
  • 25% Schedules logistics and secures resources for program activities across multiple work units to ensure optimum efficiency and compliance with appropriate policies, procedures, and specifications
  • 5% Leads the development and preparation of periodic reports and financial statements, and records progress, status, or other special reports for leadership or external agencies
  • 5% May assist in the development and monitoring of the unit or program budget and approve unit expenditures
  • 5% Contributes to the preparation of proposals for funding and/or funding continuation from outside sponsors
  • 15% Oversees guest communication as it relates to outreach programming and events
  • 5% DEM is committed to the highest standard of service. This position will be a role model by practicing exemplary and respectful behaviors in all interactions. Participation in community and culture building activities are mandatory
Tasks:

Job duties include:
  • Supervise and develop event team student employees
  • Oversee and develop the Wisconsin Admissions Volunteer (WAV) program
  • Coordinate campus partner event-related outreach and communications
  • Lead customer relations for events via phone, email, and in-person requests
  • Collaborate with Assistant Director of Events on event improvement and ideas
  • Serve as day-of event lead for smaller-scale OAR events
  • Serve as right hand person to the Assistant Director of Events on major event days
  • Serve a major, hands-on role in the prep, set-up, and tear down for all events
  • Serve in a liaison role with internal and external partners on event needs
  • Manage the production and deadlines for all event-related communications
  • Serve on office and campus committees/work groups as assigned
  • Attend and present at conferences and webinars to further professional development

--Demonstrated ability to cultivate partnerships and build relationships
--Ability to provide excellent customer service and guest experiences
--Ability to adapt to changing circumstances while utilizing a solution-driven approach
--Strong interpersonal communication skills
--Strong organizational skills and attention to detail
--Strong written and oral communication
--This position may involve minimal travel. Incumbents must be able to meet the required criteria to become a UW Authorized Driver which allows employees to drive for business purposes
--The position necessitates individuals to stand and walk for extended periods of time as well as lift and transport up to forty (40) pounds

Highly qualified candidates will possess the following:
--Experience supervising team members, students, and/or volunteers
--Experience using SalesForce or other CRM platforms

License/Certification:

Drivers License - Valid and Meets UW Risk Management Standards
This position may involve travel. Incumbents must be able to meet the required criteria to become a UW Authorized Driver which allows employees to drive for business purposes.
