Accounts Payable Specialist


Position Title: Accounts Payable Specialist

Department: Business Office

Reports To: Accounts Payable and Payroll Manager

Classification: Non-Exempt
FTE: 1.0
Salary: $21-$24/hour

Essential Job Duties:

1. Invoice Processing and Review

a. Review invoices entered into Oracle and send to departments for invoice coding.

b. Enter appropriate tax compliance coding to invoice distributions.

c. Maintain compliance with policies related to payments.

d. Maintain compliance with state taxation for non-resident entertainers.

e. Maintain compliance with federal taxation for nonresident alien suppliers and individuals.

2. Processing Weekly Payments

a. Pay required invoice and expense report payments on a weekly basis.

3. Maintain Vendor Data

a. Responsible for maintaining and remaining compliant with W-9s for all applicable vendors.

4. Shared Responsibility in Managing Wells Fargo Credit Card Program

a. Order new cards as needed.

b. Change cardholder's credit limit as requested.

c. Audit purchase card transactions for St. Olaf policy compliance.

d. Follow up to make sure all information is received (receipts, etc.).

5. Manage Wire Transfers

a. Process or approve wire transfer requests from other departments.

6. Student Supervisor Responsibilities

a. Hire, train and supervise student workers.

b. Approve timecards.

Work Schedule:

Term: Year Round

Shift: The standard 40-hour work schedule is Monday - Friday, 8:00 am - 5:00 pm; flexible work arrangements can be proposed and are subject to approval by HR and relevant supervisors
