Position Title: Music Organizations Coordinator

Department: Music Organizations

Reports To: Director of College Relations for Music Organizations

Classification: Non-Exempt D
FTE: 1.0
Salary: $20.35 - $22.40

Essential Job Duties:

1. Concert Production
  • Manage and provide concert duty for concerts on campus and others as needed for supported ensembles
  • Create and manage concert work orders and their distribution working with the appropriate stakeholders
  • Manage and secure performance spaces, pianos, and all special equipment needs
  • Assist in creating concert programs
  • Support enhanced events for Resident ensembles and special events, including but not limited to ensemble reunions, special concerts and events, ensemble-related requests form other departments, Christmas Festival, and St. Olaf Records

2. Touring Support
  • Assist with touring and off-campus needs as requested including arranging group meals, packouts, gathering and managing hotel information, gathering student information for flight lists, hotel lists, dietary restrictions, etc.
  • Travel with and assist on tour(s) as requested and needed according to other Music Orgs tour staffing, to support the areas of production, marketing and general needs on tour.

3. Administration
  • Manage and maintain storage spaces, materials and equipment as needed
  • Coordinate distribution and collection of robes and robe fittings including maintaining inventory, dry cleaning, and supervising students who assist with this work
  • Assist with budget management and collect and process payments, invoices, and receipts
  • Provide general administrative support for the Director and the office as a whole

4. Supervisory Responsibilities
  • Hire, train, arrange, supervise, and manage on-campus concert ushers
  • Hire, train, supervise, and manage the student concert manager
  • Hire, train, supervise, and manage resident ensemble choir managers
  • Supervise student workers as requested

5. Support, respect, and commit to embracing diverse backgrounds, values, and points of view to build a strong
and inclusive community

6. Complete and meet deadlines for required training and performance management cycle

7. Perform other duties as assigned

Work Schedule:

Term: Year-round

Shift: The standard 40-hour work schedule is Monday - Friday, 8:00 am - 5:00 pm; regular evening and weekend hours required for special events; travel up to 15% of the work schedule, which includes local (Twin Cities metro area) and national travel; overnight trips average 1-2 trips per year; flexible work arrangements can be proposed and are subject to approval by HR and relevant supervisors

Required Qualifications:

Education: Associate's degree or equivalent work experience; Maintain a valid driver's license and meet St. Olaf College driver authorization criteria with a satisfactory driving record.

Experience: 1+ years of experience working in concert production administration; Knowledge of music (instrumental and choral)

Preferred Qualifications:

Education: Bachelor's degree in music-related field or performing arts

Experience: Music ensemble and touring experience; related work as a project manager; Experience working in a college or university setting
