Claflin University is seeking a highly organized and proactive Assistant to the COO/ Senior Program Support Technician to support the Executive Vice President and Chief Operating Officer (EVP & COO). This pivotal role is designed to enhance executive support functions, facilitate effective communication, and ensure streamlined operational processes within the executive office. This role extends beyond traditional administrative duties, encompassing significant responsibilities in program coordination for online and operational project management. The ideal candidate will manage a variety of administrative tasks.

Specific responsibilities:
  • Implement and refine administrative systems, procedures, and policies to enhance operational efficiency.
  • Manage comprehensive scheduling for the EVP & COO, including meetings, appointments, and travel arrangements.
  • Act as a primary liaison between the EVP & COO and other departments, facilitating effective communication and operational continuity.
  • Maintain meticulous digital and physical records for the office.
  • Prepare and manage agendas for meetings, take detailed minutes, and ensure proper archiving of all proceedings.
  • Support the EVP & COO in the preparation and presentation of reports and strategic documents.
  • Analyze administrative challenges and proactively develop solutions, communicating effectively with the executive team and relevant stakeholders.
  • Coordinate and assist in the management of university-wide projects and initiatives, particularly focusing on online program operations such as Workforce Edge and Specialist for Online.
  • Engage in project management tasks to ensure timely completion and adherence to goals.
  • Undertake special projects and additional responsibilities as assigned by the EVP & COO.
  • Perform any other duties within the scope of this position.
Qualifications

Skills and Qualifications :
  • Proven expertise in administrative process management and enhancement.
  • Exceptional time management and organizational abilities.
  • Keen attention to detail coupled with a capacity for critical thinking and innovation.
  • Proficient in Microsoft Office Suite, with advanced skills in Excel.
  • Strong communication and interpersonal skills, capable of building and maintaining effective relationships.
  • Professional demeanor with refined presentation and reporting capabilities.
  • Advanced administrative writing and editing proficiency.
Education and Experience Requirements:
  • Bachelor’s or Associate’s degree in Business Management, Administration, or a closely related field.
  • Significant experience in an administrative role supporting senior or executive management, preferably in an educational or corporate setting.
