Overview of Administrative Assistant

This position is located on the Hammond Campus

Purdue University Northwest is seeking an Administrative Assistant for the Engineering Technology Department. The Administrative Assistant will provide administrative support to the Department Chair, faculty, staff and students. This position will serve as the front office contact, greeting and assisting visitors, colleagues and students and assist with the daily operation of the Engineering Technology Department.

Duties and Responsibilities of Administrative Assistant
  • Maintain department records and files
  • Compose and proofread routine correspondence for Department Chair and faculty
  • Assist with scheduling appointments for Department Chair and academic advisor
  • Coordinate meetings/events for Chair, students, faculty, and external advisory board members
  • Coordinate department meetings, notify faculty of meeting and agenda, take/type meeting minutes
  • Prepare and process personnel hiring forms such as contracts, payroll, tax, etc. for new/returning part-time lecturers, graduate assistants, and student workers
  • Compile statistical data and prepare FTE reports for full-time faculty
  • Access information from university systems and generate reports
  • Maintain signature authority for purchases, duplicating orders, and outgoing mail expenses
  • Responsible for purchasing and account reconciliation, including purchase requisitions, check requests, travel requests/reimbursements, credit card purchase reconciliation using database software programs
  • Maintain inventory of supplies
  • Serve as course schedule deputy by entering schedules in database
  • Reserve AV equipment and schedule specific classrooms as requested by instructors
  • Collect syllabi and course evaluation material for archives
  • Collect required inventory/catalog materials required for accreditation
  • Manage and process academic textbook orders ensuring accuracy and timeliness
  • Assist student organizations with meeting announcements and other requests
  • Supervise clerical student worker and monitor student worker's timecards
  • Use social media tools to collect data and promote the programs

Education of Administrative Assistant
  • Requires a high school diploma/GED
Experience of Administrative Assistant
  • Four years of previous administrative assistant experience/secretarial experience required, preferably in an academic setting with proficient knowledge of Windows based programs, applications, and social media use.

  • Proficient in using Microsoft Outlook, Word, Excel, PowerPoint, Qualtrics, scheduling software
  • Ability to reconcile credit card expenditures and track expenses
  • Ability to take initiative to prioritize tasks
  • Ability to multi-task and be detail-oriented
  • Must work well as part of a team
  • Must possess strong organizational, communication and editing skills
  • Ability to work effectively, efficiently, and respectfully in a customer-oriented environment

  • Ability to interpret and communicate university policies and procedures
  • Ability to adapt well to changes and willingness to learn new tasks
