Job Description:


The Housing Assignments Specialist supports the comprehensive administration of housing assignments along with the daily function of the Housing front office. Through the processing of student applications, assignments, billing, and adjustments for university housing, the Specialist ensures the successful administrative operation of the Housing Department throughout the year. Similarly, the Specialist oversees 3-5 student staff employees that help to address daily interaction between the student population and the larger Housing processes, offering guidance and assistance with customer service requests, communication, and technology support. Overall, maintains successful stewardship of confidential student records and assists with the implementation of housing policies, procedures, and overall data collection. Manages all incoming and returning student housing assignments.

  • Processes housing applications for all incoming and returning student housing. Creates and communicates new housing assignments. Manages and supports student housing assignment and selection processes for fall, spring, winter break, and summer terms, including but not limited to, returning student room selection, new student room assignments, room change process, etc.

  • Responds to customer inquiries via telephone and email communication when needed. Corresponds with the university community including residents, students, parents, and incoming students regarding housing and billing concerns. Coordinates housing information via large mass mailings, the website and housing guides, as well as day-to-day communications through the front desk. Works independently to resolve a wide range of student/parent concerns. Coordinates with other offices as necessary to resolve problems.

  • Coordinate daily operational functions of the HRL main office front desk, including coordinating the support and supervision of student staff, staffing the front desk when needed, addressing issues within the student community as it interacts with Housing processes, monitor and engage with housing management software to assist students with incoming inquiries, and manage urgent situations at the main office front desk according to protocol.

  • With the assistance of the Assistant Director of Housing Assignments, coordinate with unique partner departments (University Conference & Guest Services, the Academic Support and Access Center, Student Accounts) and provide successful reporting of student housing data to connect to university assignments and billing processes.

  • Under the guidance of the Assistant Director, provides data to generate housing bills and posts to student accounts; interprets billing information to appropriate individuals. Completes the corresponding billing for each student assigned to campus housing. Provides data for the completion of monthly audits comparing housing assignments to billing rates and to charges on student accounts.

  • On a semesterly basis and under the direction of the Assistant Director of Housing Assignments, recruits and trains the 3-5 student employees who serve as the front desk assistants. Completes and submits hiring actions and payroll to Human Resources. Prepares student work schedules. Update student staff on procedures and departmental changes.

Supervisory Responsibility:
  • The Housing Assignments specialist supervises 3-5 student staff and will provide support to 4,000+ student residences and 30+ full time staff members alongside the student staff team.

Position Type/Expected Hours of Work:
  • 35 hours per week.

Salary Range:
  • $27.47 per hour.
Required Education and Experience:
  • Bachelor's degree or equivalent.

  • 1-3 years of relevant experience.

  • Computer experience with Microsoft office suite and use of larger database management or housing management software, such as StarRez.

  • Experience in an office environment that provided customer service, data processing, and software support, and that required both independent and collaborative operational support.

  • Experience performing multiple tasks simultaneously with attention to detail.

  • Possess well-developed written, verbal, and interpersonal communication skills.

Preferred Education and Experience:
  • Master's degree or equivalent.

  • 2-4 years of relevant experience.

  • Experience with customer relationship management software (ServiceNow or similar).
