Job Summary:
The Administrative Coordinator will be responsible for providing administrative support for Associate Extension Administrator and the direct reports of the Associated Extension Administrator. The successful candidate will serve as a primary point of contact for Extension customers, and work with Extension administrative staff to ensure the daily efficient operation of the office.

This position will report to work Monday-Friday, 8am – 5pm, at the Central State University main campus: Emery Hall, 1400 Brush Row Rd, Wilberforce, OH 45384.

Essential Duties and Responsibilities:
  • Produces information by transcribing, formatting, recording, editing, retrieving, copying, and transmitting text data and graphics.
  • Assists by researching, and routing correspondence; drafting letters and documents; collecting and analyzing information; initiating telecommunications.
  • Assist with event and program preparation, planning and execution.
  • Assist with maintaining the Associate Extension Administrator’s appointment schedule and with planning and scheduling meetings both in-person and via Teams, conferences, and travel.
  • Assists with coordinating, arranging and preparing official travel as directed.
  • Reconcile the Associate Extension Administrator’s office monthly ProCard reports.
  • Enter requisitions in university enterprise management system. Prepare other expense related documents. Monitor processing of documents to conclusion.
  • Welcomes guests and customers by greeting them in-person or via telephone, answering or directing inquiries.
  • Maintain and manage inventory of office supplies
  • Coordinate the use of conference / meeting rooms and vehicles
  • Distribute, incoming, outgoing, and interoffice mail
  • Manages critical/time sensitive projects as needed for the unit.
  • Establishes and maintains files and ensures completeness and accuracy.
  • Prepares reports by collecting and analyzing information.
  • Assists to provide historical reference by developing and utilizing filing and retrieval systems.
  • Records meeting discussions and take minutes.
  • Maintain professional and technical knowledge by attending educational workshops, reviews professional publications; establishes personal networks, and participates in professional societies as directed.
  • Contributes to team effort by accomplishing related results as needed.
  • Completes other responsibilities as required.
Minimum Qualifications

Required Qualifications:
  • An Associate’s Degree is required with professional experience in business, education, administration, or related field.
  • The ability and willingness to work collaboratively, a desire to build administrative and interdisciplinary relationships, and experience in team building and facilitations.
  • The ability to learn new software programs as needed.
  • Knowledge of current computer/tablet smart system-based technology used in office work, and strategic organizational planning.
  • Ability to work independently of direct supervision.
  • Ability to operate office equipment such as Fax machine, copier/printers, multi-line telephone systems.
  • Ability to maintain confidentiality.
Preferred Qualifications
  • Bachelor’s Degree preferred.
  • Extension experience and proficient knowledge of BANNER .
  • Demonstrated ability to build and maintain diverse networks.
  • Ability to lift 25lbs.
