JOB SUMMARY:

Under the direction of the College Business Officer, this position will serve as the human resources liaison and payroll administrator for the CVM. Coordinates personnel/payroll activities for the college, providing administrative and management support and training to assigned units. Contributes to process efficiency and ensures data and transaction accuracy. Performs other duties as assigned.

JOB DUTIES:

35% - Essential - Administrative HR Liaison: Manages and organizes accurate, comprehensive files related to HR, including recruitment processes, offer letters, personnel actions, etc. Maintain headcount and recruiting status summary for the College and reconcile to the CVM FTE report. Prepares accurate personnel action requests (PARs), overloads, sabbaticals and commitment forms for all types of actions. Supports the Business Officer, CoSO, and Dean in the development and execution of the yearly strategic hiring plan (faculty and staff) and the weekly position tracking worksheet. Enters positions into Tiger Talent and works with the OHR team to track the process. Maintains signature delegation and confidential personnel files and archives for records retention compliance. Assists the CVM leadership in compiling data and preparing reports for salary studies and other action items related to the college personnel. Creates and disseminates HR/payroll announcements for all college faculty and staff. In coordination with the CoSO and Business Office, drive consistency and continuous improvement in hiring practices across all units in the college, working closely with unit representatives responsible for departmental activities. Manage HR temp employee emails and disseminate information to departments as needed.

35% - Essential - Recruitment, Hiring, On-boarding: Partner with OHR's Talent and Acquisition team to provide recruiting support to the college's faculty and staff search committees, assisting with job descriptions, postings, and interviewing processes, ensuring that policies are followed. Provides search committees with training in areas such as confidentiality and recruitment processes. Attend search committee meetings to discuss processes and timelines as needed. Assist the search committee chair with the submission of diversity reports for approval. Assist with negotiations, draft offer letters, and other hiring forms for faculty hires. Circulates the forms for signatures from the Dean and Provost. Supports hiring, on-boarding, and off-boarding of all CVM personnel, including faculty, staff, and students. Ensure all signed forms are sent to OHR to upload to Tiger Talent for candidate acceptance. Responsible for immigration paperwork, faculty credentialing, I-9 forms, background checks and exit interviews.

20% - Essential - Payroll Administration: Manages all post-hire payroll management for the CVM. Prepares bi-monthly payroll for the CVM, including special pay, recurring pay, etc. Review paysheet reports to ensure accurate hires and pay and that terminations have been processed. As Lead Timekeeper, sign off on reported time and leave requests in the system, ensuring supervisor approvals for all employees. Work with the business office to determine appropriate JEDs for all employees. Process pay rate and earnings distribution changes for faculty, staff, and students, dual employment requests, and other payroll actions for the college. Ensures use of Federal Work Study funds and college-specific forms as needed. Provide final paysheet report to the business office for accounting review. Coordinates and enters faculty summer compensation. Manage and lead the college's payroll process, driving standardization, efficiency and compliance. Drives consistency and continuous improvement in payroll administration practices, including the summer pay process (i.e., tools and procedures) across all units in the college, working closely with unit representatives responsible for departmental activities. Provides support across all units with summer pay data entry. Collaborate with the CBO and FBM to keep current project lists and budgets, monitor end dates, and ensure compliance.

10% - Essential - Financial, TPR, and Other Administrative Support: Supports CBO on financial support as needed. Collaborate with the CBO to utilize SharePoint to retain HR records. Collaborate with the Executive Assistant and other CVM leadership to maintain official policies, bylaws, procedures, and manuals. Track a database of employee contacts and adjunct faculty, work closely with the TPR committee, Department Chair and Dean on renewal dates, assuring uninterrupted appointments.

MINIMUM REQUIREMENTS:

High School diploma and relevant experience in business management, public administration, or administrative services or a bachelor's degree may be substituted for the required work experience

Education - Bachelor's Degree in Business Management/Administration, Human Resources, or a related field

Experience - 5 years of relevant experience in business management, administrative services, or human resources
