Primary Purpose of Organizational Unit

The Department of Communication Studies carries out a mission that involves teaching, research, and service within the College of Arts and Sciences. The Department has grown to include 30 Faculty who teach over 3000 credit hours for over 500 undergraduate majors and an online graduate program with 120 graduate students. The two front office members report directly to the Chairperson of the Department to help provide a wide variety of services to the graduate director, faculty, and students.

Brief Summary of Work for this Position

The Administrative Associate provides administrative support to the Department of Communication Studies.

Responsibilities include:
  • Process purchases, requisitions, honorariums, and independent contractors
  • Enter assignments for faculty load and compensation
  • Enter assignments for student compensation
  • Process faculty research and grants and track grant funds
  • Assist with schedule building and maintain accurate schedule in Banner
  • Processes travel arrangements and requests
  • Maintain the departmental budget and prepares summary data reports
  • Assist in tracking faculty research and grants
  • Maintain confidential records, files and databases including equipment, computer and surplus tracking in cloud-based platforms
  • Assist the department chair with various matters as they arise
  • Assist with various office matters including room scheduling, answering telephones and welcoming visitors, directing students to department resources, copying and preparing class materials, including coordination of book orders
  • Assist in the supervision of student workers in coordination with the department chair
Minimum Education and Experience Requirements

High school diploma or equivalency; or demonstrated possession of the competencies necessary to perform the work.

Preferred education, professional skills and experience
  • Knowledge of the regulations and policies of the department, College of Arts and Sciences, University of North Carolina, and the State of North Carolina which are applicable to the work
  • Knowledge of Banner financial and student information system
  • Specific knowledge of the formats involved in the preparation of documents that are necessary for the teaching and service mission of the department
  • One year Excel or equivalent software experience in an office environment
