Minimum Education/Training/Experience

High school diploma or equivalent and one (1) years of general clerical or office support experience.

Preferred Education/Training/Experience

An Associate’s Degree in a related field and at least 2 years of administrative experience or office support experience.

  • Ability to gather data, compile information, and prepare periodic or special reports.
  • Ability to use independent judgment and to manage and impart confidential information.
  • Ability to analyze and solve problems.
  • Knowledge of office practices and procedures including maintenance of records.
  • Strong organization and coordination skills.
  • Demonstrate a sensitivity to relate to persons with diverse socioeconomic, cultural, and ethnic backgrounds, including veterans and individuals with disabilities.
  • Ability to review documents for completeness and accuracy.
  • Ability to meet schedules and deadlines.
  • Proficient in Microsoft Office Software, including word processing, database management, spreadsheet and presentation software.
  • Operate standard office equipment.
Preferred Knowledge & Skills

Knowledge of VA Educational Benefits and Texas Hazlewood Exemption.
Bi-lingual English/Spanish speaker.

Job Duties
  • Perform general reception duties including greeting visitors, answering phone calls, providing and accepting paperwork, and providing general assistance to veterans and their family members in person or on the phone.
  • Instruct visitors in how to sign in to the Who’s Next system on the computer and move student to proper department or advisor as appropriate.
  • Triage requests at the front desk to determine best avenue for addressing visitor’s request.
  • Monitor and respond to general office email account.
  • Receive documents from students and complete initial processing for certification requests.
  • Assist students with Admissions and Registration processes, applying for military benefits, and starting FAFSA and scholarship applications.
  • Enter, edit, and retrieve data and prepare periodic and special reports using a computer system and following established formats and menus.
  • Handle confidential information with tact, discretion, and in compliance with College of the Mainland, Veterans Administration and Texas Veterans Commission regulations.
  • Maintain an up-to-date contact list of students each semester and assist with mass emails for Veterans events or notices.
  • Perform office support activities such as checking mail, distributing mail to proper recipients, processing outgoing mail, inventory of office supplies, etc.
  • Submit office supply orders and reconcile receipts with the business office.
  • Prepare and submit purchase requisitions as requested.
  • Report facility and IT issues as necessary through creation of work orders.
  • Assist in planning and hosting various Veteran events such as the annual Veterans Day Ceremony as well as events in collaboration with other departments across campus.
  • Assist in recruiting efforts through campus and community events.
  • Assist in coordinating and processing travel requests for OVS staff.
  • Assist in coordinating schedules and training of part-time student workers.
  • Perform other duties of a similar nature or level as assigned.
Physical Requirements

Positions in this class typically require stooping, crouching, reaching, standing, walking, talking, hearing, seeing, and repetitive motions.
Sedentary work: exerting up to 10 pounds of force occasionally and/or negligible amount of force frequently or constantly to lift, carry, push, pull or otherwise move objects, including the human body. Sedentary work involves sitting most of the time. Jobs are sedentary if walking and standing are required only occasionally, and all other sedentary criteria are met.
