The Department of Orthopedic Surgery is searching for anAdministrative Coordinator who will provide administrative support to the faculty of the orthopedic research group. Provides the day-to-day administrative and technical support to the Projects and Cores of the Center for Musculoskeletal Research (‘Center’) in the Department of Orthopedic Surgery to ensure a smoothly functioning office. Exercises independent judgement in the resolution of administrative problems and prioritizes workload. Provides administrative support functions, including clerical support to Center faculty and staff, including appointments, correspondence, manuscripts, grant proposals, and filing. Implements university and departmental policies and procedures. Maintains flow of oral, written, and electronic communication that include, but may not be limited to, maintenance of communication logs, Center website and social media, and meeting and seminar advertising. Purchases and tracks office and laboratory supplies. Works closely with RMS to provide entry level professional sponsored funds management supporting the Center faculty on pre-award and post-award functions that include, but may not be limited to proposal preparation, budget development, account maintenance and oversight, billing/invoicing, reporting, and closeout.

Specific Duties & Responsibilities:

  • Provides day-to-day administrative and technical support to Center Projects and Cores.
  • Responsible for answering the telephone and providing information to callers.
  • Serves as key administrative contact for Center research program and external organizations.
  • Works with Center faculty in previewing federal grants, contracts and awards.
  • Prepares and distribute agendas, meeting minutes and reminders for meetings as well as attend and tape record meetings to document discussions.
  • Composes agendas, documents, correspondence, and memos on behalf of the faculty. Transcribes and/or types manuscripts, technical documents, table, graphs/charts, correspondence and notes. Formats and compiles information for grants, protocols, presentations, reports, manuscripts, etc.
  • Assists in grant preparation, including NIH grant applications or other funding grants. Reviews, prepares and collects required documents.
  • Serves as the administrative liaison between Center faculty and JHU Research Management Services (RMS) team.
  • Assists with pre- and post-award support responsibilities for all research grants/contracts, for Research division including those from NIH, NSF, DOD and NASA. Monitors compliance with regulations,
  • Manages research lab inventory and postdoc research support.
  • Monitors budget expenses for several research grants in cooperation with RMS.
  • Assists in the preparation of research manuscripts, technical documents, annual donor reports and journals.
  • Collects and coordinates information related to Center P01 grant and related projects. Makes recommendations on info as collected.
  • Performs miscellaneous related duties as assigned.

Minimum Qualifications (Required):

  • High School Diploma/GED.
  • Three (3) years related experience.
  • Additional education may substitute for required experience, to the extent permitted by the JHU equivalency formula.

Preferred Qualifications:

  • Experience in a related medical office, hospital, call center or customer service environment.
  • Medical terminology.

Special Knowledge, Skills & Abilities:

  • Intermediate computer and proofreading skills.

JHU Equivalency Formula: 30 undergraduate degree credits (semester hours) or 18 graduate degree credits may substitute for one year of experience.  Additional related experience may substitute for the required education on the same basis. For jobs where equivalency is permitted, up to two years of non-related college course work may be applied towards the total minimum education/experience required for the respective job.

Any vaccinations required for these diseases will be given at no cost in our Occupational Health office.
