Job Description:

The Purchasing Coordinator is a full-time, exempt position. The Purchasing Coordinator assists with the college's overall procurement operations. This position reports to the Director of Purchasing.

Duties and Responsibilities:
  • Assists in ensuring the purchasing activities comply with the statutes, policies, and procedures.
  • Reviews requisitions for accuracy, completeness, and adherence to college purchasing procedures.
  • Provides assistance to college departments in the identification of sources of supply and pricing. Assists in the development and maintenance of vendor and bid lists.
  • Maintains familiarity with market trends, as well as product availability through various state, local, and educational contracts.
  • Assists with preparation of procurement specifications, bid review, and award recommendations.
  • Prepares correspondence as assigned by the Director of Purchasing and Auxiliary Services.
  • Performs professional work in supporting the College’s purchasing activities.
  • Assists in providing direction and supervision of staff assigned in Central Services. Trains, instructs, and supervises clerical and/or temporary employees, and/or student assistants.
  • Records minutes of bid openings prepares appropriate forms for depositing bid deposits in the College Bursar’s Office, and initiates request for return of bid deposits.
  • Provides access and manages the Online support systems. (I.E., VendorLink, GovSpend, GovQuote, Bidnet, Amazon Business and Office Depot).
  • Manages List of Suppliers who have access to the Workday ERP.
  • Responsible for all P-Card purchases conducted by Purchasing for the College departments.
  • Conducts research on the 28 Florida Colleges to increase alignment utilization of potential
  • “Piggy-Back” Bid participation is used to ensure accurate cost savings/basis.
  • Responsible for knowing and conforming to all safety practices and regulations that apply to this specific area and position. Unsafe conditions should be reported to the immediate supervisor and to the Pensacola State College Police Department/Public Safety.
  • Performs other duties as assigned.
Essential Functions:
  • Excellent oral and written communication skills.
  • Data processing and computer input required for a majority of workday.
  • Operates typical office equipment, desktop computer, copier machine, multi-line telephone, computer printers, and calculators.
  • Ability to use the internet for conducting research and accessing websites.
  • Ability to read and comprehend instructions, short correspondence and memos.
  • Ability to effectively present information in one-on-one and small group situations to customers and other employees at the College.
  • In-district, and overnight travel may be assigned.
Minimum Qualifications: Graduation from an accredited institution with a bachelor’s degree and two years work experience in purchasing or related administrative/business field required. Prefer supervisory experience in a small office environment, current or previous experience in local, state, or regional centralized governmental purchasing office, and working knowledge of purchasing card programs. Successful results of a background check are required.

Pursuant to College policy, it is an employment eligibility requirement for an applicant to meet the requirements of § 435.04(2), Florida Statutes, related to background investigations. Any person failing to meet the requirements of the statute will be deemed not qualified to hold employment in this position. A Florida Department of Law Enforcement (FDLE) approved background check will be conducted on every successful candidate as a condition of employment, and any person who fails to disclose any adverse information contained in the background investigation at the time of submitting the employment application will be disqualified from employment.

Annual Salary Range: $42,500.00 - $47,500.00
