  • Randolph-Macon College invites applications for an Administrative Assistant. This position performs various administrative and clerical tasks (e.g. typing, filing, handling mail) for specified members of the faculty of the College which require high levels of trust, responsibility, and accuracy. Reporting to the Assistant to the Provost, this position involves frequent contact with faculty, students, parents, staff, and visitors to the College. Must exhibit flexibility and willingness to function as a team player in accomplishing various functions required by the faculty.


    1. Operates copier, fax machine, personal computer, laser printer, and scanner.

    2. Composes memoranda, requisitions, and other correspondence from general instructions with minimal guidance required.

    3. When necessary, answers and directs telephone calls, provides information, and delivers messages in a timely manner.

    4. Makes travel arrangements for guest speakers and other visitors.

    5. In the absence of the Provost’s Assistant, or during extremely busy periods, provides administrative and clerical support to that office. The Provost’s Office will determine when this support is necessary.

    6. Orders supplies on-line from The Supply Room and Amazon.

    7. Assists faculty in the preparation of requisition and reimbursement forms, and tracks invoices to ensure prompt payment, and maintains a budget spreadsheet for departments when requested.

    8. Assists faculty in coordinating events on campus i.e., occasions, refreshments, housing for participants.

    9. Assists faculty with various academic clubs and organizations.


    1. A high school diploma is required. A college degree and proficiency in Microsoft Suite, plus three years of related work experience in an administrative or clerical position preferred.

    2. Well‑developed oral and written skills.

    3. Excellent knowledge of College programs, policies and procedures.

    4. Well‑developed knowledge of general office practices and procedures, plus skill in conducting several projects simultaneously.

    5. Experience with Microsoft Office Suite software (Word, Excel and Access), Windows, Adobe Acrobat, Power Point, SharePoint, and networking are desirable.

    6. Ability to deal with students, co‑workers, faculty members and senior‑level administrative personnel in a professional and courteous manner.

    7. Skill in coordinating and maintaining schedules and appointments.

    8. Ability to work independently and prioritize from general instructions with little or no supervision.

    9. Ability to remain calm and well‑organized and to adjust rapidly to an environment with frequent interruptions, unexpected deadlines, and a wide range of personalities.
