Position Announcement

Working with Event Services & Risk Management, this position acts as an event services liaison, coordinating with UMAC, Student Affairs, and other areas to facilitate campus event set up, take-down, etc. Handle a multiple event management load and ensures campus event services are high quality, safe and professionally done. Relies on experience, skill, best practices and judgment to plan, schedule and coordinate event objectives, under the direction of the Executive Director of Event Services & Risk Management. Responsibilities

  • Assist internal and external clientele in planning, scheduling and managing a variety of event venues, including outdoor stadiums, athletic arenas, performing arts centers, student centers and activities, special events, and health performance buildings. This includes developing and following an event management plan, staying within budget, and effective resource management.
  • Perform basic facility assessment, pre-planning and readiness. Includes but is not limited to:
    • Event set up of tables, chairs, A/V equipment, media, and staging;
    • House/ushering management,
    • Parking enforcement,
    • Threat/hazard analysis for the safety of employees and patrons,
    • Event equipment maintenance,
    • Event take down, custodial, and reconciliation.
  • Collaborate with the Event Services and Risk Management team to ensure appropriate customer service and maintaining a positive working relationship with students, faculty, staff and client event groups in planning, scheduling, implementing, logistics, operations, and reconciliation of campus events.
  • Follow university event guidelines and fee schedules, supervise part-time staff, meet contract obligations, and keep accurate records of all event paperwork. Work with clientele to ensure regulatory and policy compliance.
  • Ensure events are efficient, effective, promoted, and collaborative at the highest professional quality possible.
  • Prepare agreements, make purchases as required, and prepare billing invoices. Assist with student venue and space sales, marketing and event promotion, etc. as needed.
  • Ensure familiarity with assigned event locations; keep up-to-date and informed of industry best practices.
  • Participate in assigned university committees and meetings.
  • Assist other areas within Event Services & Risk Management as requested, and perform other duties as assigned.


Qualifications

  • Bachelor’s degree, or equivalent level of college coursework and event service management experience, required.
  • At least one (1) year event service experience required. Experience working in a higher education environment preferred.
  • Knowledge of operational management, environmental health and safety regulations.
  • Good public relations and customer service skills.
  • Self-motivated and able to work independently, with ability to manage multiple event load and maintain emotional control under stress.
  • Good written and verbal communication skills.
  • Ability to perform strenuous walking, standing and climbing, as well as raise and lower objects from one level to another (including upward pulling) 25-50 lbs.
  • Ability to work indoors/outdoors in varying climate conditions.


Supplemental Information

POSITION DETAILS, COMPENSATION AND BENEFITS: Full-time classified staff (overtime-eligible) position. Annual salary of $37,000, with a desired start date of as soon as possible.
