Job Description Summary
Penn's Office of Institutional Research & Analysis (IR&A) has an opening for a Coordinator B. IR&A is responsible for producing timely, accurate, and unbiased statistical analyses used in the strategic planning process of the University of Pennsylvania. The department serves the entire university community as a depository and clearinghouse for institutional data; responds to internal and external requests for data and research; initiates and conducts studies; and provides consultation on institutional research-related activities within the university.

This position is integral for IR&A to meet their goal of providing statistical analysis for the University to utilize in the strategic planning process. The IR&A Coordinator is responsible for developing and managing relationships across all schools and centers at Penn. They are involved in all projects managed by the IR&A office, manage all areas of office and executive administration for the Vice President and the IR&A department and handle all of the responsibilities listed below.

Job Description

Job Responsibilities
  • Serve as the department's first point of contact to university stakeholders and external constituents. Develops communications, inquiries, and fields questions.
  • Provide executive assistance to the Vice President IR&A.
  • Manage all administrative operations of the IR&A office including budget and financial operations.
  • Responsible for all aspects of planning and facilitating department meetings and conferences and manages complex travel arrangements.
  • Maintain and update all department documentation protocols ensuring compliance with state and local regulations.
  • Oversees and assists with the preparation of key public institutional research reports including data collection.
  • Maintains and Updates Departmental Websites and Print Communications. Develop content, coordinate distribution, post news items, and listserv management.
  • Facilitate the hiring including employee onboarding and offboarding process for new hires.
  • Maintain primary responsibility for IR&A's Mission Continuity Plan, Business Impact Analysis, and Tabletop exercises.

  • Bachelors degree required and a minimum of 2-3 years of experience or equivalent combination of education and experience.
  • Excellent organizational skills; excellent attention to detail, follow-through, and closing
  • Proven ability to efficiently and effectively handle multiple tasks
  • Proven ability to work under time constraints while adhering to strict deadlines
  • Excellent verbal and written communication skills; ability to work independently as well as be part of a team
  • Excellent computer skills, including extensive experience with MS Office Suite
  • Ability to handle confidential materials professionally and to utilize discretion in releasing confidential information

Salary offers are made based on the candidate's qualifications, experience, skills, and education as they directly relate to the requirements of the position, as well as internal and market factors and grade profile.
