Job Summary

To provide varied administrative support to the Department of Chemistry and Biochemistry in the main department office. Responsible for a variety of administrative duties requiring moderate exercise of independent judgment, initiative, and ability to make decisions relative to office operations.

Essential Duties and Responsibilities
  • Provides customer service to faculty, staff and students for the Department of Chemistry and Biochemistry front office, by answering the phone, assisting with walk in questions, distributing mail, photocopying handouts and quizzes, photocopying and sorting exams, posting flyers, requesting rooms, shipping items, etc.
  • Maintains general office including ordering office supplies, maintaining office inventory
  • Maintains instructional textbook inventory and requests desk copies as needed
  • Coordinates departmental catered events, assists with annual awards ceremony, annual charity campaign, seminar set up, etc.
  • Submits door/key access requests and communicates with Environmental Health and Safety regarding required safety training
  • Maintains instructional textbook inventory and requests desk copies as needed
  • Maintains calendar for chemistry conference rooms
  • Assists with timekeeping in TCP program
  • Assists with faculty and room assignments in UTA MyMav Program
  • Keeps up to date on university retention policy
  • Assigns students to proctoring duty during semester and finals
  • Back up support for travel and reimbursements
  • Back up support for chemistry stockroom package receiving
  • Performs other duties as assigned.
Required Qualifications
  • High school diploma with five (5) years of increasingly responsible administrative, secretarial and clerical or the equivalent experience
Preferred Qualifications
  • Bachelor’s degree with One (1) years upper level secretarial experience.
Knowledge, Skills and Abilities
  • Proficient with the use of Microsoft Office Suite, and UT Arlington’s in house programs such as MyMav and UT Share.
  • Customer service experience and proficiency in written and oral communication skills.
