The Office of the Vice Provost for Research is seeking aSr. Grants & Contracts Analystthat will primarily support pre- and post-award activities for the Bloomberg Distinguished Professorships (BDP) team. Throughout the year, this position will also manage two institutional research award programs: Catalyst Awards (supports early career faculty) and Discovery Awards (supports cross-divisional team science). These programs represent part of the largest institutional commitment to faculty research in the country. This position will report to the Grants and Contracts Manager.

Given the very public nature of the VPR office, in particular the BDP, and the institutional awards programs as well as their importance to University leadership, this position requires a motivated professional with significant expertise in research administration within academia. The ideal candidate is a quick learner, independent, results-oriented with strong interpersonal skills.

Position Scope/Complexity

Work independently a majority of the time, on complex or highly complex grants/contracts. Provide high-level, professional administrative guidance on protocols, regulations, and guidelines to PI and other scientific/research professionals within the department. Interact with external research/administrative professionals.

Specific Duties & Responsibilities


Pre-award

  • Provide instruction, preparation assistance and support related to grant application procedures.
  • Understand and utilize institutional policies for pre-award grant process and sponsor guidelines.
  • Manage all assigned grant submissions to ensure timeliness and accuracy.
  • Review budgets and related justification for appropriateness and completeness of content. Provide groundwork for subcontract negotiations.
  • Responsible for the timely preparation of proposal budget for the PI’s review.
  • Review all sponsored project proposals for assigned faculty prior to them being forwarded to the Grants & Contracts Manager and JHURA/ORA for signature. Review involves accuracy, content, adherence to all relevant guidelines.
  • Partner with and act as final point of contact with faculty and/or budgetary staff and the research administration offices (JHURA/ORA) toward the planning and development of application submissions to various federal offices, private agencies/foundations and commercial companies.
  • Provide excellent customer service to all faculty.
  • Other duties as assigned.


Post-award

  • Manage post-award processes, including award setup, review, account setup verification, and ensuring that staff is setup appropriately.
  • Assist in transfer of awards for incoming BDPs to Hopkins.
  • Maintain ongoing updates and communications related to current grants and contracts, including regular auditing and reporting to principal investigators on financial status of grants, contracts and discretionary accounts. Also provide relevant updates and reports to departmental leadership, as needed.
  • Ensure that post-award responsibilities are completed, including budget distribution, account reconciliation, e-form processing, effort reporting, cost transfers, paying invoices and paperwork finalization related to subcontract setup.
  • Oversee and direct all aspects of complex award management activities and provide oversight to other employees, including monitoring and managing accounts, audits, evaluations and reporting.
  • Provide information and direct assistance required to complete contract and grant closeouts, as needed.
  • Serve as liaison between research units, central offices and funding agencies.
  • Support PI with administrative assistance for all IRB and ACUC protocols.
  • Ensure compliance in all other areas related to grant and contract management, including sponsoring organization guidelines, internal protocols, accurate protocol information within grant documents, conflicts of interest, etc.
  • Remain updated on changes in policy and sponsors’ requirements.
  • Work with international sites in terms of compliance.
  • Provide excellent customer service to all faculty.
  • Other duties as assigned.

Institutional Awards Programs

  • Manage the annual proposal submission processes for the awards programs including proposal intake and troubleshooting, reviewer assignment, and results collection and reporting.
  • Compile leadership briefings presented to the President and Provost for approval of award recipients.
  • Liaise with appropriate departmental staff to ensure efficient set up of non-sponsored accounts for Catalyst, Discovery and President’s Frontier awards.
  • Track and maintain all award account data in a central shared database.
  • Ensure quarterly reimbursement of all accounts with the UA finance team.
  • Respond and resolve all inquiries in a timely manner. Requests may include but are not limited to the extension of project periods and updates on award funding balances.
  • Consult manager on situations/concerns that need to be addressed before they escalate.

Special knowledge, Skills, & Abilities

  • Thorough knowledge and understanding of The Johns Hopkins University accounting system and related fiscal offices preferred.
  • Thorough knowledge of external Federal guidelines/procedures for grants and contracts, including NIH, NSF and DOD.
  • Ability to make independent judgments and to act on decisions on a daily basis.
  • Ability to work with flexibility on several tasks simultaneously and to meet various concurrent deadlines.


Minimum Qualifications
  • Bachelor’s Degree.
  • Four years of related experience in sponsored research and/or financial positions, preferably in an academic or medical setting.
  • Additional education may substitute for required experience and additional related experience may substitute for required education, to the extent permitted by the JHU equivalency formula.
  • Successful completion of the Research Administration Training Program (15 months) is equivalent to two years of relevant experience for this position. If an employee does not successfully complete the program, no additional experience will be applied.


Preferred Qualifications
  • Knowledge of accounting and budgeting theory and practices required.
  • CRA certification preferred.
